Were looking for a proactive Administration Officer to join our friendly Townsville team.

This full-time office-based role is ideal for someone who enjoys working behind the scenes to keep everything running smoothly. You will support engineers project managers and operations staff while helping maintain a professional welcoming and well-functioning office.

About the role

As our Administration Officer youll be the central point of coordination for our Townsville office. This is a hands-on varied role providing day-to-day support to our local team and occasional assistance to our Cairns and Mackay offices. From managing reception to document formatting travel bookings and event coordination youll be key to creating an efficient and welcoming environment.

Key responsibilities:

  • Welcoming visitors and managing reception calls and enquiries
  • Booking travel and accommodation
  • Coordinating meeting rooms supplies and technology setup
  • Ordering and managing office and kitchen supplies
  • Handling mail postage and couriers
  • Formatting and preparing reports tenders and proposals
  • Assisting with onboarding/offboarding of staff
  • Maintaining records registers (e.g. access cards contact lists) and templates
  • Managing petty cash and vehicle servicing schedules
  • Liaising with building management and suppliers
  • Organising office events and catering
  • Providing admin support to management and project teams as needed

About you

You present professionally with a friendly and welcoming personality. Reliable self-motivated proactive diligent and adaptable youre ready to assist across the office as needed. You are a team player with strong organisational skills clear communication and a keen eye for detail.

Youll bring:

  • Minimum 3 years experience in administration or office support
  • Strong proficiency in Microsoft Office (Word Excel Outlook PowerPoint)
  • Excellent verbal and written communication skills including a professional phone manner
  • Excellent time management organisational skills and ability to multitask
  • High attention to detail and accuracy particularly with document formatting
  • A proactive can do attitude with the ability to take initiative
  • Ability to plan and organise a busy workload while supporting multiple stakeholders
  • Experience in engineering or professional services (desirable but not essential)
  • Willingness and ability to learn quickly
  • Ability to build and maintain effective working relationships
  • Reliability trustworthiness and a commitment to working in a dynamic deadline-driven environment
  • Current drivers licence and unrestricted Australian work rights are essential.
