Job Description

Job Summary:

This role involves processing health information ensuring patient data confidentiality and maintaining accurate medical records. The HIM Clerk will perform various tasks related to record retrieval preparation scanning filing and distribution while adhering to HIPAA regulations and departmental policies. Excellent communication and organizational skills are essential.
Location: Whittier California United States
Responsibilities:
- Collect and deliver health information/hard copy medical records.
- Process the surgical list.
- Retrieve medical records from various units.
- Locate and follow up on missing medical records.
- Prepare scan and file medical records and loose reports.
- Prepare documents for storage (scanning or boxing).
- Answer telephones and assist staff with health information requests.
- Assist with preparation of medical records for destruction (as time permits).
- Safeguard patient protected health information (PHI) according to HIPAA regulations.
- Ensure a safe patient environment and adhere to safety practices.
- Log out requested charts for tracking.
- Direct telephone calls to appropriate areas.
- Check documents and prepare medical records for scanning.
- Ensure scanning equipment is properly cleaned and maintained.
- Assist with ongoing projects as requested.
- Adhere to daily production standards.
- Understand and apply hospital and department policies and procedures.
- Maintain consistent performance and productivity levels.
- Communicate effectively with all ages of customers.
- Abide by and enforce compliance requirements and policies.
- Perform other related duties as assigned.

Required Skills & Certifications:
- Knowledge of medical records and medical record documents.
- Ability to use alphabetical and numerical filing systems.
- Strong organizational skills and attention to detail.
- Effective communication and interpersonal skills.
- Ability to follow instructions and maintain accuracy despite interruptions.
- Legible handwriting.
- Basic computer and keyboarding skills (30 wpm typing speed).
- High school diploma or GED.

Preferred Skills & Certifications:
- Familiarity with electronic medical record systems.
- Knowledge of medical terminology.
- Previous HIM department or medical office experience.
- Valid drivers license vehicle insurance and registration (State specific).

Special Considerations:
- The position requires working every Saturday with a Tuesday-Saturday schedule (Sunday and Monday off).
- The initial contract is until 8/12/2025 with a possibility of extension.
- Maintaining patient confidentiality is critical.

Scheduling:
- Tuesday through Saturday 7:00 AM to 3:30 PM.
- Every Saturday is mandatory.
