Job Summary:
Our client is seeking to engage a competent and highly organized Office Manager with a robust background in administrative operations strong proficiency in ICT tools and foundational knowledge of finance and accounting processes including invoice management and expense monitoring.
The successful candidate will be responsible for establishing and standardizing office procedures ensuring operational efficiency and providing strategic administrative support across departments.
Key Responsibilities:
Develop implement and maintain standard operating procedures (SOPs) for administrative processes to ensure organizational efficiency and compliance.
Manage day-to-day office operations including procurement vendor management inventory control and facilities maintenance.
Serve as the primary point of contact for internal and external stakeholders regarding administrative matters.
Oversee document management systems ensuring timely and accurate filing retrieval and archiving of company records.
Support finance operations by processing invoices monitoring expense records and assisting in budget tracking and reporting.
Coordinate logistics for internal meetings company events and executive travel arrangements.
Supervise administrative staff and ensure tasks are executed in line with company policy and best practices.
Ensure ICT infrastructure office equipment and communication systems are functional and well-maintained in collaboration with the IT support team.
Prepare regular reports and presentations for senior management on operational and administrative metrics.
Ensure compliance with workplace health and safety regulations data privacy and other statutory requirements.
Perform all other tasks as assigned by line manager.
Requirements
Key Requirements:
First degree in Business Administration Office Management or a related discipline from a recognized university.
3 years work experience in office administration or operational support with a proven track record in managing and optimizing office workflows.
Professional certifications such as ICSAN (Institute of Chartered Secretaries and Administrators of Nigeria) or CIPM (Chartered Institute of Personnel Management) will be considered an added advantage.
Fundamental knowledge of accounting principles is essential for expense tracking invoice processing and financial reporting support.
Excellent written and verbal communication skills with the ability to engage professionally and effectively with colleagues clients vendors and other stakeholders.
High level of proficiency in office productivity tools including Microsoft Office Suite (Word Excel PowerPoint Outlook) and cloud-based collaboration platforms such as Microsoft 365 or Google Workspace.
Strong organizational and time management skills with the ability to prioritize effectively manage multiple tasks concurrently and deliver results under tight deadlines.
