Onboarding Specialist Summary:
The Onboarding Specialist is responsible for executing and managing the onboarding process for ne hire rehires
and employees returning from layoff. This role involves ensuring compliance with organizational policies and
procedures providing seamless onboarding experience and maintaining accurate records. The Onboarding
Specialist works closely with team members field leadership and new hires to support timely and efficient
onboarding. Please note: While Gunnison is headquartered in Atlanta GA this recruitment is for our sister company Townsend Tree Service based in Muncie IN. The individual hired for this role will be expected to report to the Townsend corporate office located at 1015 W Jackson St Muncie IN.
Duties/ Responsibilities
Essential Functions:
Onboarding Execution
- Manage the end-to-end onboarding process for assigned new hires rehires and employees returning from layoffs.
- Ensure all required forms documents and compliance requirements are completed accurately and on time.
- Assist new hires in navigating the onboarding process providing clear instructions and support.
Collaboration and Communication
- Communicate regularly with field leadership to confirm onboarding requirements and provide updates on progress.
- Act as a point of contact for new hires addressing questions and resolving issues promptly.
- Collaborate with the Onboarding Process Coordinator and other team members to ensure consistent onboarding practices.
Compliance and Documentation
- Maintain accurate and organized onboarding records in accordance with company policies and regulatory requirements.
- Conduct through reviews of onboarding documents to ensure compliance with state and federal regulations.
- Report any discrepancies or issues to the Onboarding Process Coordinator.
Process Improvement
- Identify areas for improvement within the onboarding process and propose solutions to enhance efficiency and employee experience.
- Support the implementation of new systems and processes as directed by the Onboarding Process Coordinator.
Acquisition Support
- Assist with onboarding processes related to acquisitions ensuring a smooth transition for newly acquired employees.
- Support data collection verification and documentation during acquisition integrations
Qualifications
Education and Experience
- High School Diploma or equivalent
- Minimum of 2 years of experience in onboarding HR operations or a related role.
Skills and Competencies
- Strong organizational and time-management skills to manage multiple priorities and adapt to a demanding environment.
- Excellent communication and people skills to build relationships with team members field leadership and new hires.
- Attention to detail and accuracy in completing documentation and maintaining records.
- Proficiency in HRIS systems and other onboarding tools.
- Ability to adapt to a demanding environment and handle challenges with professionalism.
- In-depth understanding of best practices.
- Excellent communication and people skills.
- Strong analytical and problem-solving abilities to identify challenges and implement effective solutions.
- Meet all physical requirements of the position.
- Pass all drug and alcohol screens as required by Company policy and if applicable required by DOT regulations.
- 18 years of age or older or 21 if CDL is required.
- Legally authorized to work in the United States
The Onboarding Specialist works in an office environment with occasional remote work flexibility. The role may
require limited travel to support acquisition integrations or training initiatives.
