The Role
As the Lead Associate Advocacy Operations youll be integral in helping vulnerable children achieve a brighter future. You will contribute to advancing Save the Childrens advocacy initiatives. Reporting to the Chief of Staff for the Policy Advocacy and Campaigns (PAC) division the Lead Associate will support the execution of the division agenda by facilitating operations across Save the Children Action Network (SCAN) and the Government Relations teams.
As the Lead Associate you must be collaborative and enjoy working within an environment that is mission- and results-driven. The ideal individual will possess good judgment strong communication and organizational skills and the ability to maintain balance among multiple competing priorities. You will be entrusted with high-level confidential information and is required to maintain the highest standard of confidentiality in addition to demonstrating Save the Childrens core values of Accountability Ambition Collaboration Creativity and Integrity.

What Youll Be Doing (Essential Duties)*

Operations and Knowledge Management (40%)
- Assist with developing processes to operationalize divisional strategy and document the impact of divisional work.
- Drive forward strategic initiatives and special projects offering proactive support to ensure work remains on schedule and is completed on time.
- Facilitate information sharing across the division.
- Coordinate and provide staffing support for monthly all-staff meetings staff retreats and trainings.
- Maintain shared files templates staff organizational charts and email distribution lists ensuring all are up to date and that staff have access to and awareness of the resources available to them.
- Collaborate with staff to drive consistent approaches to relevant administrative and operational processes.
- Ensure the shared calendar is up to date with relevant meetings events deadlines and staff time-off.
- Manage subscriptions and memberships ensuring all team members have access to and awareness of the relevant resources available to them as well as sufficient training to use them effectively.
- Manage the DC inventory of SWAG and campaign materials; ship materials to states and advocates as needed.
- Collect and distribute division mail.
- Complete ad-hoc projects as assigned.
Scheduling and Administrative Support for PAC Vice President (20%)
- Schedule meetings track and follow-up on all meeting requests and invites and proactively manage scheduling conflicts.
- Coordinate with staff to prepare briefing materials for travel meetings and events.
- Submit invoices and complete expense reports for reimbursement.
- Arrange travel and accommodation.
Support Senior Management Operations (20%)
- Provide administrative support to the Chief Operating Officer of SCAN and Head of Policy of PAC as needed including preparing expense reports and booking travel and accommodation.
- Organize the administration of extraordinary performance awards and professional development resources.
- Schedule share agendas take notes and report action items of SCAN Senior Management Team (SMT) meetings.
- Collect and share weekly 3x3s with SCAN SMT.
- Assist with recruitment and ensure the successful onboarding and offboarding of staff.
- Together with the Chief of Staff develop and manage the divisions internship and fellowship program.
SCAN Board Liaison (20%)
- Schedule meetings and manage attendance.
- Prepare and distribute board materials including meeting minutes agenda quarterly dashboard team updates and annotated agenda.
- Develop and streamline processes and procedures for recruiting and onboarding new board members including managing background check processes.
- Create and maintain board materials including the board bio book and ensure Board Effect is up to date.
- Staff the Nominations and Governance Committee.
- Manage the SCAN board report for Save the Children US board meetings.
Required qualifications for the role
- Minimum of a High School Diploma or equivalent plus at least 3 years of relevant experience.
- Ability to seek out new perspectives knowledge and best practices to improve performance.
- Proactive and solution-oriented with the ability to take initiative and perform effectively with minimal supervision.
- Ability to recognize matters of urgent or critical nature and handle them accordingly.
- Demonstrated ability to exercise sound judgment communicate effectively stay organized and successfully manage multiple competing priorities in a fast-paced environment.
- Recognized as a dependable resource for colleagues providing support knowledge sharing and guidance.
- Proven ability to handle high-level confidential information with discretion while consistently upholding the highest standards of professionalism and embodying Save the Childrens core values of Accountability Ambition Collaboration Creativity and Integrity.
- Professional proficiency in MS Office suite.
- Professional proficiency in spoken and written English.
Compensation
Save the Children is offering the following salary ranges for this position dependent on candidate location:
- Geo 1 - NY Metro DC and other locations with labor costs significantly above national average: Target Salary for this position is $66300 $74100 base salary
- Geo 2 - Locations around the US National Labor Cost Average: Target Salary for this position is $60350 $67450 base salary
- Geo 3 - Locations significantly below the US National Labor Cost Average: Target Salary for this position is $54400 $60800 base salary
The salary ranges listed above are for US based candidates. For candidates located outside of the US salary ranges will be based on the salary scales of the local employer of record. Actual base salary may vary based on but not limited to relevant experience base salary of internal peers business sector and geographic location (more information on job structure is available here).
