Job Description

In this role you will support the Logistics & Production team in the delivery of Gartners must-attend global conference portfolio for both virtual and in-person programs. This person will be responsible for the development management and execution of various conference elements relating to logistics and production.

What you will do:

  • Support operational delivery of all logistics and production elements across in-person conferences including project management virtual event platform management financial management (forecasting expense management and reconciliation) staff planning and production scheduling.
  • Manage specific areas of conference budgets to support the conference manager produce accurate monthly forecasts and manage expenses effectively.
  • Attend conferences as the onsite support for in-person and production lead for delivery including managing the production schedule temporary staff and liaising with agency partners and vendors.
  • Liaise with key conference partners and team members (internal and external) to ensure successful conference execution; build and maintain good relationships by establishing trust and a working partnership.
  • Be a key member of the global Conference operations team build effective relationships with peers in all regions take and share best practices and continuously raise the level of our event.
  • Constantly evaluate the experience feedback and results then implement changes accordingly. Create detailed post-event analysis reports and event de-briefs for review with manager/operations leads.
  • Plan organize and execute event logistics with guidance from the Conference Manager from initial stages of development through on-site and conference wrap-up.
  • Assisting in leading key event partners to the delivery aspects of the events.
  • Co-ordinate travel & accommodation arrangements for conference teams & vendors.

What you will need:

  • Bachelors Degree preferred
  • 2 Years of Event Management experience
  • Proven event operational skills including production schedules budget management and event staffing
  • Project management experience on detailed programs with multiple variables and dependencies
  • Proven experience in managing agency and vendor partners
  • Strong interpersonal and relationship building skills especially with senior level professionals cross-functionally and with agency partners
  • Creative innovative and strategic thinker with a strong attention to detail
  • Strong financial management skills
  • Motivated team player with desire to learn and grow
  • Excellent written/oral communication and presentations skills
  • Demonstrated ability to adapt implement and manage change and strive for continuous improvement
  • Ability to thrive in high pressure situations
  • Willingness to travel approximately 20% of the time domestically and internationally as needed

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 49000 USD - 75000 USD. Please note that actual salaries may vary within the range or be above or below the range based on factors including but not limited to education training experience professional achievement business need and location. In addition to base salary employees will participate in either an annual bonus plan based on company and individual performance or a role-based uncapped sales incentive plan.
