DescriptionROLE PURPOSE:
This position will be responsible to provide HR services to all staff in HR related tasks including providing support for national recruitments onboarding employee retention life-circle offboarding wellbeing HR trackers and reporting on request and other ad-hoc duties as required.
KEY AREAS OF ACCOUNTABILITY:
1. HR Administration & Documentation
- Collect and maintain complete and accurate staff documentation (e.g. personal data forms contracts agreements signed policies) in individual personnel files.
- Prepare and issue HR-related documents letters orders agreements and certificates in compliance with Ukrainian labor legislation and internal policies.
- Maintain up-to-date filing systems (both electronic and physical) and ensure proper document archiving including transfer of long-term storage records to the organizational archive.
2. HR Data Management & Systems
- Ensure accurate and timely updates of employee records in the HRIS (Oracle) and coordinate with HRIS users to maintain data quality.
- Maintain and regularly update all HR trackers and databases (e.g. leave recruitment training onboarding/offboarding payroll etc.) for easy information retrieval and reporting.
- Control and promote timely and accurate timesheet submissions in Agresso; monitor completion and follow up as needed.
- Conduct regular self-compliance checks and support data audits; address findings through clean-up and updates.
3. Payroll & Benefits Administration
- Prepare monthly payroll documentation in a timely and accurate manner and submit for review by the HR Manager.
- Support in administering staff benefits and allowances in accordance with policy and law.
- Liaise with the Finance team to ensure alignment between HR records and payroll data.
4. Policy Implementation & Staff Support
- Proactively communicate HR policies procedures and tools to all staff ensuring clarity and consistent application.
- Advise staff on HR-related queries especially regarding leave entitlements procedures and templates.
- Utilize relevant SCI tools minimum standards and emergency HR guidelines to ensure compliance and consistency in HR practices.
5. Recruitment & Employee Lifecycle Management
- Support recruitment processes including advertising shortlisting scheduling interviews reference checks and documentation.
- Ensure effective onboarding and orientation of new staff and manage offboarding procedures in line with internal processes.
- Process transfers contract extensions and staff changes in coordination with the HR Manager.
6. Compliance & Process Improvement
- Provide HR data and documentation during internal or external audits.
- Participate in the review and improvement of HR policies procedures and workflows to ensure legal compliance efficiency and relevance to organisational needs.
7. Other
- Support the HR Manager in liaison with government offices and third parties as needed (e.g. on taxation social insurance registration).
- Perform any other duties assigned by the HR Manager to support HR service delivery and organisational effectiveness.

QUALIFICATIONS AND EXPERIENCE
- A Bachelors Diploma in relevant field.
- Minimum 3 years experience in a similar or related role.
- Good knowledge and experience of generalist HR issues including Ukrainian Employment Law recruitment and selection interpretation and application of policies and procedures restructuring reward and employee relations.
- Excellent communication skills (Verbal and Written) with the ability to provide clear effective advice on a range of HR issues.
- Excellent presentation and facilitation skills.
- Strong team player collaborative and capable of building effective relationships across all levels
- Proficiency in Microsoft Officer products (Word Excel Outllook Powerpoint) and ability to use the internet to obtain data and reference materials.
- Comply with the requirements of Save the Childrens Global Policies.
