Job Description


We are seeking a detail-oriented and organized Project Manager/Production Specialist to oversee the renewal and application processes for appraisal licenses across multiple states. This role involves coordinating with internal teams and regulatory bodies to ensure timely and accurate submission of license applications tracking renewal deadlines maintaining compliance with state and federal requirements and managing documentation and reporting. The ideal candidate will possess strong project management skills a keen understanding of licensing procedures and the ability to streamline workflows while minimizing compliance risks. Excellent communication and problem-solving abilities are essential for success in this role.


In addition to licensing responsibilities the Project Manager/Production Specialist plays a critical role in managing the end-to-end coordination and production of client deliverables. This includes creating proposals and Letters of Engagement (LOEs) setting up and maintaining job records in internal systems and serving as a liaison between internal teams and clients. The role also requires formatting assembling and delivering professional client-ready reports in both digital and hard copy formatsensuring accuracy compliance and adherence to BBGs reporting standards.


A successful candidate will be highly organized process-driven and capable of managing multiple priorities in a fast-paced environment while delivering high-quality timely results.


Requirements

  • Create proposals and Letters of Engagement (LOEs) based on input from Client Managers
  • Execute client-generated LOEs and return them promptly
  • Set up new jobs in the Sessions system following detailed internal processes
  • Save all executed LOEs and organize them in the appropriate job folders
  • Send information requests to client contacts while copying relevant job participants
  • Follow up on outstanding client information and maintain ongoing communication
  • Save received information to job folders and notify internal team members accordingly
  • Create consolidated (portfolio) invoices as needed
  • Maintain and update job records in Sessions with due dates transaction details delivery instructions and other key information
  • Generate client invoices and ensure accuracy
  • Format reports according to BBG standards including grammar and layout
  • Conduct spellchecks and apply appropriate formatting such as draft stamps or digital signatures
  • Update and maintain tables of contents (TOCs)
  • Convert final reports to PDF format and insert exhibits including BBG Overview Glossary and Licensing & Qualifications
  • Deliver final reports to clients in accordance with specified delivery instructions
  • Track and document delivery sequence in the system
  • Prepare hard copy folders and coordinate with the production team for physical report assembly and distribution
