Job Description

Marion Math Science & Technology Magnet is seeking an office assistant for the coming school year to support the guidance counselor and office.

Summary: Provide confidential secretarial and clerical responsibilities necessary for the efficient and effective school office that assists the counselor or designee and school staff in the performance of responsibilities so that a safe learning environment and effective instruction are provided to ensure that all students meet and exceed the Core Curriculum Content Standards.

Essential Duties and Responsibilities: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required.

Job Tasks Descriptions

  1. Organize and maintain an efficient and effective office that handles a variety of tasks for the guidance counselor.
  2. Perform secretarial and clerical tasks of a varied nature.
  3. Type correspondence reports and memoranda from rough drafts. Assure proper correspondence layout arrangement and grammatical composition and preservation of confidentiality. Ensure that all communications from the office meet proper written and oral English standards.
  4. Secure and maintain appropriate confidential student records.
  5. Maintain efficient and well organized electronic and paper data collection and filing systems including confidential student and personnel files.
  6. Initiate actions based on verbal instruction or independently from knowledge of situation or project.
  7. Create forms and compile and organize data and information necessary for the efficient operation of the office the completion of required district and state data collections and the completion of the designees responsibilities. Complete all required monthly and year-end reports in a timely fashion.
  8. Work cooperatively with staff in other offices with the completion of large or time sensitive projects or emergencies.
  9. Maintain a safe working condition and operate electronic and other equipment needed to carry out job functions and responsibilities.
  10. Attend required staff meetings and serve as appropriate on staff committees.
  11. Keep informed about school and district activities and other information necessary for the functioning of the office.
  12. Continue to grow through collaboration with fellow staff members and participation in appropriate staff development and workshop programs.
  13. Protect confidentiality of records and information about students and staff and use discretion when sharing any such information within legal confines.
  14. Compile data and prepare reports for state federal and/or other regulatory agencies.

Other tasks:

  1. Perform all work duties and activities in accordance with District policies procedures and safety practices.
  2. Perform other duties as assigned.

Education and Related Work Experience/Qualifications:

  • High school diploma completion of G.E.D. or equivalent. Associate degree preferred.
  • A minimum of 2 years of successful experience in a related office position.
  • Demonstrate excellent secretarial skills including at least 50 wpm at the keyboard with a minimum of errors general bookkeeping skills organizational and filing skills and the ability to use electronic equipment for word processing data management informational retrieval visual presentations and telecommunications.
  • Be proficient in the use of Microsoft Office Suite or an equivalent computer program.
  • Demonstrate the ability to communicate effectively in English both orally and in writing using proper grammar and vocabulary.
  • Demonstrate appropriate telephone etiquette with proper voice inflection.
  • Have excellent integrity and demonstrate good moral character and initiative.
  • Display ethical and professional behavior in working with everyone who communicates or is associated with the District. Serve as a role model for students and staff in demonstrating positive attitudes appropriate attire and grooming accepting responsibility and an effective work ethic.
