Administrative Assistant- Contract to hire

Dynamic company seeking a highly organized and efficient Administrative Assistant to join the team. Ideal candidate is someone who thrives in a fast-paced environment has excellent multitasking abilities and possesses strong proficiency in Microsoft Excel and other administrative tools.

Job Overview

As an Administrative Assistant you will play a crucial role in supporting the assigned department daily. You will be responsible for managing various administrative tasks coordinating schedules and ensuring smooth communication between different departments. This position requires a detail-oriented individual with exceptional organizational skills and the ability to prioritize tasks effectively.

Key Responsibilities

  • General Administrative Support:
    • Answer and direct phone calls take messages and respond to emails
    • Greet and assist visitors clients and guests
    • Maintain a clean and organized office environment
    • Manage office supplies inventory and place orders as needed
    • Handle incoming and outgoing mail and packages
    • Prepare and distribute memos letters and other documents
  • Calendar Management:
    • Schedule and coordinate meetings appointments and travel arrangements for executives and team members
    • Manage and update multiple calendars ensuring no conflicts or overlaps
    • Send reminders and follow-ups for scheduled events
  • Data Management and Reporting:
    • Create update and maintain various databases and spreadsheets using Microsoft Excel
    • Generate reports presentations and other documents as requested
    • Assist in data entry and ensure accuracy of information
    • Develop and implement efficient filing systems for both digital and physical documents

Required Qualifications

  • Must have recent office administrative support experience.
  • Minimum of 3 years recent clerical support experience.
  • Enjoy a professional busy department.
  • Proficient with Microsoft office- Word/Excel/Outlook/PowerPoint
  • Professional communication skill set
