Job Description

Executive Assistant to the President - Ideal Software Systems Inc.

Location: Meridian MS On-site

Ideal Software Systems a leading provider of integrated business management software for over 40 years is seeking a highly capable and trusted Executive Assistant to support our President. This is a mission-critical role for an organized proactive and professional individual who will help optimize the Presidents time support key projects and ensure the executive office runs smoothly. You will serve as a right hand to the President managing the calendar coordinating projects communicating on their behalf and navigating both big-picture priorities and daily logistics.

Key Responsibilities

Calendar Management

  • Strategically manage the Presidents complex calendar including appointments internal/external meetings and personal obligations
  • Prioritize scheduling to align with company goals and daily efficiency

Meeting Coordination

  • Plan schedule and prepare all aspects of meetings: agendas logistics participants and follow-ups
  • Attend meetings to take notes track tasks and follow through on action items

Communication Management

  • Serve as a gatekeeper for calls emails and correspondence prioritize and organize in an efficient manner
  • Draft professional communications memos and documents on behalf of the President

Document Preparation

  • Create and edit reports presentations proposals and other professional materials
  • Conduct research and compile briefs to support decision-making

Project Management

  • Assist in managing projects across departments
  • Monitor progress follow deadlines and communicate with departments to ensure timely execution

Liaison Role

  • Act as a trusted point of contact for internal staff and external clients
  • Represent the President with professionalism and discretion

Required Skills and Qualifications

  • Bachelors degree preferred but not required
  • Executive-level administrative experience preferred
  • Proven ability to handle confidential information with discretion
  • Exceptional organizational and time management skills
  • Outstanding written and verbal communication
  • Proficiency with Microsoft Office Suite (Outlook Word Excel PowerPoint) and Google Workspace
  • Strong attention to detail with the ability to manage multiple priorities under pressure
  • Strategic thinker with initiative problem-solving skills and follow-through
  • Adaptable and calm under shifting demands or unexpected challenges
  • Positive can-do attitude with a polished and professional demeanor
