The primary responsibility of the Administrative Coordinator is to provide sales support to multiple sales teams and work with internal business partners to support effective positioning of American Century Investments products in the market. Meticulous organizational skills and attention to detail are paramount in addition to the ability to demonstrate a positive approach to problem solving and to provide intuitive solutions in a dynamic fast-paced environment.
This hybrid position will be based out of our New York office.

How You Will Make an Impact
Administrative Coordinators develop and maintain strategic relationships with external and internal business partners to achieve shared sales objectives by supporting sales activities events and reporting including but not limited to:
Enter and maintain client/prospect profile information and call reports to document details of client appointments meetings and activities in Salesforce.
Generate Salesforce reports and collateral fulfillment requests for territory sales management and client coverage.
Adhere to compliance policies and procedures and be a knowledgeable resource to sales teams.
Support client meetings by submitting resource requests providing presentations collateral and additional materials needed to complete the event.
Coordinate conference events by completing participant registrations securing booth displays materials and promotional items.
Fulfill requests for special event tickets adhering to compliance reporting requirements.
Order promotional items and gifts to support client meetings events and client recognition.
Coordinate multiple projects and prioritize support for multiple sales teams meetings special events and conferences.
Serve as a liaison between sales teams and business partners to communicate accurate information and provide timely turn-around of requests (e.g. organize and assist with various marketing projects).
Support administrative needs including creating expense reports and check requests research on budget and FINRA inquiries calendar updates schedule meetings reserve conference rooms catering arrangements office supply and business card orders copies/faxing and shipping.
Special projects as assigned.
What You Bring to the Team (Required)
Outstanding customer relations skills with attention to detail and a desire for continuous improvement.
Strong interpersonal skills with an ability to develop long-term relationships based upon trust through professional verbal & written communications with individuals in remote locations.
Project management experience from inception through execution.
Advanced problem-solving skills in a complex time-sensitive environment.
Able to good decisions and designs solutions based upon business objectives and client expectations.
Ability to anticipate needs and respond appropriately.
Ability to work independently and as a member of the team.
Accepts responsibility for work assignments and special projects.
Adaptable to changes in a dynamic environment (re-prioritization of assignments schedule changes last minute requests etc.).
Interacts with internal and external business partners in a ethical and professional manner.

High School Diploma/GED required
3-5 years administrative experience
Customer service experience
Proficiency with Microsoft Office (Word Excel and PowerPoint )
Additional Assets (Preferred)
Bachelors degree or working towards bachelors degree preferred
Working knowledge of Salesforce CRM
Knowledge of FINRA guidelines

For New York and California based candidates the salary range for this role is $55000.00-$68000.00. Actual offers are based on various factors including but not limited to a candidates location skills experience and relevant education and/or training. This position is eligible for cash incentive providing the potential to earn more.
Employees are required to be in the office on a scheduled frequency. Adherence to this schedule is essential to fulfilling the expectations of the role.
