Job Description

Job Summary:

The Administrative Support Coordinator (ASC) will provide a full range of secretarial and administrative support to the School of Computer Science and Engineering which includes front office support student enrollment scheduling ordering supplies/equipment and other classification related duties as assigned.

Duties and responsibilities

Under the general supervision of the Department Chair the Administrative Support Coordinators responsibilities include:

  • Perform day-to-day administrative support duties independently including steps of planning executing initiating coordinating implementation and evaluating outcomes to provide daily department support.
  • Provide staff support for course scheduling. Work collaboratively and take initiative to assist the director in monitoring enrollment.
  • Maintain track and compile data related to course rosters book orders faculty office hours and syllabi. Assist in preparing routine reports and documents using standard office software such as word processing spreadsheets and databases.
  • Serve as a point of contact for students faculty staff and visitors; respond to routine inquiries provide information and refer complex issues to appropriate personnel.
  • Process and track key requests key requests for student clubs research assistants and part-time lecturers.
  • Maintain and schedule calendar for the school director.
  • Responsible for maintaining and ordering office supplies through Staples procurement card or PeopleSoft; submitting facilities work orders; and preparing requisitions and printing requests.

Student Support

  • Provide excellent customer service to support student success by responding to inquiries and directing them to appropriate resources. Interact regularly with students faculty and campus departments while applying basic knowledge of relevant department and university policies procedures and practices.
  • Serve as the liaison to identify Computer Science & Engineering (CSE) students who will have advising holds; remove holds and refer students to the appropriate advisors for further guidance.
  • Communicate to students when class seats become available provide class registration assistance when permissions are needed which may include assisting with Course Add Course Overload and Simultaneous Enrollment forms. Create and maintain student waiting list each term for certain courses.

Other Classification-Related Duties as assigned


Minimum Qualifications:

  • High school diploma or its equivalent
  • Three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Qualifications:

  • Experience to be fully functional in all technical aspects of work assignments.
  • Thorough detailed knowledge of applicable university infrastructure policies and procedures.
  • Thorough knowledge of English grammar punctuation and spelling.
  • Thorough knowledge of office systems and ability to use a broader range of technology systems and packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math such as calculate ratios and percentages track financial data and make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broader range of interpersonal contacts including those at a higher level and those sensitive in nature

Compensation and Benefits:

Anticipated Hiring Range: $3864 - $4000 per month

Classification Salary Range: $3864 - $6072 per month

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical dental and vision plans membership in the California Public Employees Retirement System (CalPERS) sick and vacation time and 15 paid holidays a year. Position Information:

Full-time Non-Exempt Emergency Hire (up to 120 days or 180 days)

Academic year schedule: Monday through Friday (8:00 am 5:00 pm) some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm) some evenings/weekends.
