Job Description

Assistant Parts Manager
Work Location: One Location In-Person
Job Type: Full-time
Pay: Based on Experience
Experience: Management: 1 year (Preferred); Parts Department: 1 year (Preferred)

A Parts Manager needs to perform well under pressure and understand the fluctuating needs for various replacement parts to excel in the role. Theyre responsible for keeping the business well-stocked and keeping customers happy.
Responsibilities:
  • Responsible for ordering parts from preferred vendors tracking parts for arrival distribution and storing parts and ensuring the prompt return of damaged or unused parts.
  • Locate order and provide correct parts accessories and merchandise while maintaining the highest level of customer satisfaction
  • Become knowledgeable and maintain all company policies and procedures
  • Maintain control of parts inventory and control obsolescence
  • Maintain profitability
  • Adhere to all safety and environmental protocols
  • Oversee training for parts personnel
  • Maintain parts department appearance and organization
  • Maintain control of parts costs system sourcing and location/storage
  • Maintain a consistent watch on purchase orders (POs) through the PO system; requiring POs to be issued for all orders/purchases at the time of the order assuring the correct PO is recorded on all invoices
  • Forecasting parts needs and ordering parts to maintain optimal inventory levels
  • Monitoring the current parts inventory
  • Pricing parts to sustain profitability
  • Receiving parts including placing them into inventory and labeling them
  • Helping customers find and purchase the correct parts
  • Overseeing special orders
  • Collaborating with managers to ensure all parts are available for service
  • Maintain a file with model and serial number for all installs both commercial and residential
  • Update prices on parts both costs and selling price
  • Conduct a physical inventory at the end of the year and as requested by management
  • File warranty claims with vendors and work with accounting to ensure warranty credit is received

Requirements:
Prior parts management experience in a service industry is preferred
Pass Drug and Background Test
Good verbal skills
Strong people skills
Ability to interact with various levels of management and customers
Essential Job Functions:
Responsible for ordering parts confirming orders and monitoring delivery times.
Check in parts label and distribute immediately upon receipt or store in an organized
manner until the assigned job is ready for the part.
Track any incomplete order status (outstanding orders backorders and credits) and follow
up as necessary.
Inspect all parts for damage quality and accuracy.
Return and re-order any damaged or incorrect parts.
Keep work-area clean and well organized.
Comply with all JHCC safety rules guidelines and standards.
Perform other related duties as assigned.
Necessary Knowledge Skills and Abilities:
Strong computer skills and aptitude for learning new programs.
Exceptional communication skills oral and written.
Outstanding organizational and multi-tasking skills; adapts easily to a fast-paced
environment.
Personable friendly demeanor with a solid customer service approach to internal and
external customers.
Work Environment and Physical Demands:
Must be able to work consistently in between a climate-controlled professional office
environment and a non-climate-controlled shop environment.
Requires long periods of sitting or standing depending on daily workflow.
Requires the use of standard office equipment (i.e. computer copier scanner etc.)
May require moderate standing walking bending or stooping.
May require occasional lifting of up to 50lbs.
