Job Description

Position Summary



The Registrar maintains official college records safeguards student privacy and enables sound academic policy and reporting. This role supports student success and institutional effectiveness at every stage from enrollment to alumni.

The Registrar supervises the Records Office team and oversees all aspects of its operations ensuring compliance data integrity and excellent customer service.



Responsibilities



Essential Functions

  • Lead and manage the Records Office team including supervision training and performance evaluation.
  • Serve as the colleges Privacy Officer and manage compliance with FERPA and all relevant data privacy regulations.
  • Support college efforts to minimize risk of identity theft and fraud.
  • Oversee and maintain student data within the registration module covering demographic information transcripts enrollments academic standing etc.
  • Act as the Registration Module Manager for the Student Information System.
  • Develop and deliver both ad hoc and scheduled training on Records Office policies processes and forms.
  • Represent the Records Office on campus committees or delegate staff members to do so as appropriate.
  • Process Affidavit of Residency requests.
  • Calculate probation and dismissal in accordance with college policy.
  • Maintain and update the Records Offices public-facing webpage.
  • Prepare and submit required federal state and institutional reports.
  • Plan and administer the Records Office budget.
  • Lead the development and implementation of college policies and procedures to ensure institutional compliance and best practices.
  • Participate and collaborate with other Student Services team members.
  • Arrive on time for work attend work regularly and successfully complete the responsibilities of the position.
  • Comply with HutchCC policies procedures and practices.

  • Perform other responsibilities as assigned by the Vice President of Student Services.


Qualifications


  • Bachelors degree preferred.
  • Demonstrated leadership in records management or a related administrative department.
  • Expertise in FERPA data privacy laws and managing institutional data.
  • Proficiency with Student Information Systems preferably Jenzabar One.
  • Excellent organizational skills attention to detail and ability to manage confidential information with discretion.
  • Project development and implementation experience preferred.
  • Physical requirements include excellent verbal written and listening communication skills; excellent organizational skills; ability and willingness to collaborate; ability to work independently; use appropriate judgment and to apply tact and courtesy in difficult situations; light to moderate indoor work environment.
  • Mental requirements include the ability to learn and comprehend basic instructions about the position.
  • Physical and mental qualifications must be performed with or without reasonable accommodation.

SALARY and STATUS:


The salary is commensurate with qualifications as determined by HutchCC administration. This full-time administrative staff position is 12 months annual benefit eligible at-will and exempt.
