The Position
The Assistant Controller supports the Controller in overseeing all accounting operations ensuring the accuracy and integrity of financial reporting and compliance with internal policies and external regulations. This role plays a key part in month-end closing audits and supervising accounting staff. The Assistant Controller serves as a strategic partner and back-up to the Controller.
Job Duties
Accounts Receivable/Member Billing
Manage member billing processes including posting non-POS batches
Scan deposits daily into the bank by using Smart Pay
Support the Membership Department by ensuring new memberships and member status changes are processed properly along with calculating the fees that are associated with the status changes
Prepare cash boxes for cash bar events and manage the petty cash box
Prepare and send 30-day delinquent letters to members monthly
Prepare monthly accounts receivable aging reports for the General Manager and Controller
Charge members and non-member accounts for private functions
Apply credits and adjustments to member accounts when appropriate
Handle member inquiries related to billing in a professional and timely matter by phone or email
Print and prepare monthly member statements to be mailed
Accounts Payable
Review invoices and make sure they are approved by department heads for payment
Resolve any invoice discrepancies
Communicate with vendors regarding questions or issues with invoices
Review vendor statements and request any missing invoices if necessary
Post invoices into the system using proper G/L codes
Run a cash requirement report weekly when processing A/P checks
Print checks and attach invoices to be approved by the General Manager on a weekly basis
Review monthly credit card statement and post entries to appropriate G/L codes
Prepare 1099-NEC forms at the end of the year and send them to vendors
Periodically check on receipt of food and beverage purchases when delivered
Human Resource
Prepare yearly benefit packages for employees
Assist with the onboarding of new hires
Organize monthly Birthday and Anniversary celebration for the staff
General Duties
Assist daily with answering phones and taking reservations
Filing
Assist with interim and annual audits as needed
Complete tasks and projects given by the Controller
Participate periodically in food and beverage inventory count
Bachelors degree in accounting preferred
3 to 5 years of Private Club experience preferred
Knowledge of Jonas Club Management and Clubessential software
Strong computer skills - Microsoft Excel and Word experience required
A well organized and detailed self-starter able to manage time and establish priorities
Strong problem-solving skills with the ability to analyze accounting matters
Strong verbal and written communication skills
