Job Description

Job Title: Executive Assistant
Pay: $24 - $28 per hour
FLSA Status: Hourly Non - Exempt
Reports to: Chief Service Officer

Midwest Petroleum is a retail petroleum and convenience store chain based in St. Louis Mo. Midwest Petroleum operates 60 stores within a 150-mile radius that employs approximately 600 employees. Midwest Petroleum markets fuel through the ZX Conoco and Phillips 66 brands.
Primary Purpose of Job:
As the Executive Assistant your primary responsibility is to support the assigned department through a variety of tasks related to organization and communication. Works well with a variety of tasks practices and procedures done to complete maintenance projects. Helps with organization and bookkeeping of all maintenance projects. Will help filter and direct work orders to maintenance members or to the Department Manager. Administrative Assistants are responsible for confidential and time-sensitive materials.
Essential Duties and Responsibilities:
Provide general administrative support including answering phone calls handling inquiries and managing the various calendars.
Coordinate job meetings including preparing agendas creating and distributing meeting minutes reserving facilities and sending invitations.
Attend meetings and take meeting minutes to go over with superiors.
Report Generating provide schedule updates progress tracking on projects schedule adjustments.
Update cost of projects - distribute and maintain tracking of all billing and/or invoices.
Organize and schedule appointments and meetings for MPC Senior Leadership.
Perform a variety of administrative tasks such as filing typing copying binding scanning and document creation.
Manage project documentation and maintain comprehensive and organized records.
Setting up new Projects including filing and retrieval of documents and project logs producing ongoing reports as requested.
Help coordinate permitting and licensing track progress relevant to projects as needed.
Help with document management reproduction automation etc.
Prioritize competing requests and job responsibilities based on urgency of requests.
Research special projects to gather information as needed.
Handle any other work that can be assigned at the supervisors discretion.
Education/Experience Qualifications
Bachelors in Business Administration or equivalent work experience
5 years as Special Project Administrator or Executive Administrator

Physical Requirements
This position is performed in a fast-paced environment with frequent exposure to general office equipment beverage equipment coolers and any other site-specific equipment/factors. You could also encounter exposure to hazardous materials and loud noises. This job requires the ability to walk stand bend and reach regularly. Must be able to frequently be required to lift push or pull weight of at least 5 to 75 pounds. Ability to work in different Midwest Petroleum Stations. Reasonable accommodation may be made to assist an otherwise qualified individual in the performance of the job.
