DescriptionJOB SUMMARY:
The Convention Set-Up Manager is responsible for the day to day operations of the Set-Up department training of Assistant Managers and hourly convention porters while managing purchases and keeping costly expenses to a minimum.
ESSENTIAL JOB FUNCTIONS:
- Schedule the Assistant Convention Service Set-up Managers in conjunction with business demands to ensure client satisfaction and convention coverage.
- Critically assess the supply inventory to ensure proper par levels are maintained while searching out new ways of operating to keep costs low.
- Directly oversee the Assistant Convention Service Set-up Manager in training all porters on all equipment as well as training them on all room sets.
- Schedule staff according to business needs.
- Outlines clear departmental goals and manages managers and staff to those goals.
- Responsible for the reviewing of floor plans and delegating duties based on information provided.
- Responsible for adhering to fire codes as defined in fire Marshall approved diagrams.
- Responsible for all equipment utilized in the Convention Center which includes but not limited to: air walls risers tables chairs easels pallet jacks stanchions and reader boards.
- Attends weekly catering meeting with Chefs Banquet Stewarding Banquet Management and Catering and Conference Services Departments to discuss in detail the forthcoming events.
- Coordinates details with Convention Service Manager and Banquet Manager.
- Regularly attends Pre-Convention meetings to solidify relationship between hotel and meeting planner.
- Communicates effectively with meeting planners and support staff and disseminates information to supporting management team.
- Handles and distributes changes efficiently to keep business moving.
- Read and interpret banquet event orders and convention resumes and be able to effectively communicate any discrepancies.
- Where applicable must support the Director of Convention Setup to oversee the day to day operations of the convention package center and convention receiving dock. This includes tracking receiving storing and deliver of guest packages and freight.
- Effectively forecast business to ensure proper inventory levels of equipment
- Able to have a team focus highly effective and flexible mentality when it comes to decision making.

QUALIFICATIONS:
- Work requires effective communication in English both verbal and written form in a professional manner.
- Must possess passion and a sense of urgency to drive results.
- Work requires 3-5 years previous work-related experience or exhibit skills that are unconsciously competent.
- Must present a neat and professional appearance.
- Work prefers Bilingual abilities.
- Work requires flexibility to work various shifts.
- Work requires knowledge of computer programs including: Word Excel and Windows.
PHYSICAL MENTAL AND ENVIRONMENTAL DEMANDS:
Fast paced environment multiple tasks to be handled under time constraint. Must be able to handle a heavy business volume and sensitive situations relating to staff and guest problems in a timely manner.
