Job Duties:
Office Specialists make the connection from the call to management for dispatch of employees or resources based on the information gathered. They provide management and our employees support during incidents by coordinating information via phone radio email or database to the state operations center.
Office Specialists are the link between callers responders crews management and other agencies delivering effective communication and coordination while remaining calm and collected and able to work with troublesome people by collecting information to understand the situation and detail of the call and forward the information to the right person. The Office Specialist receives phone calls and radio calls then documents the incident details with accuracy and speed.
Support department functions and assist with logistics manage supplies and coordinate schedules and meetings. Office Specialists provide vital behind-the-scenes support that ensures the efficient functioning of the agency allowing Supervisors Superintendents and employees to focus on their primary functions and duties.
They produce correspondence with vendors the public and/or other departments to solve problems which may arise. Handle confidential and sensitive information with discretion and professionalism.
They gather and organize data as requested. Assists with drafting editing and formatting documents reports and presentations. Schedules appointments meetings and travel arrangements for staff. Assisting with resolving routine office issues. Ensuring adherence to established office procedures. Assisting with the on-boarding process for new employees. Prepares invoices and payment of claims requisitions and purchase orders. Reviews and processes claims from vendors contractors medical providers and others for reimbursement or payment under various state programs.
Typically interacts with others within the agency who perform different functions and kinds of work or with those outside the agency to provide information or to conduct customer service functions.
Prepares packets of information/material relative to agency activities actions or requests for distribution to the public customers vendors agency representatives or contractors. Coordinates people equipment location and delivery of supplies.
Perform other duties as assigned.
Requirements / Qualifications:
Minimum Qualifications: Coursework/training in administrative/office support functions procedures and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
Preferred Qualifications: Proficient in Microsoft Office Suite (e.g. Microsoft Word Excel etc.). Energetic and flexible individuals who provide efficient and professional administrative support to other office members and are willing to deal with constant interruptions and doing tasks that require a high level of concentration.
Other: Regular and reliable attendance. Must have a valid drivers license or the ability to provide independent authorized transportation. The position may occasionally require overnight travel and periodic work outside normal working hours.
Knowledge Skills and Abilities:
Must have good computer skills proficient typing skills and attention to detail. Must be able to utilize time and organize work to meet deadlines and prioritize requests have the ability to work under pressure and have good interpersonal and communication skills. Must have the ability to disseminate information in relation to geographic location or highway system and direction. Must be able to deal professionally with the public and NDOT employees. Must be able to work with minimal supervision and be self-motivated. Must work well in teams have a high level of discretion and judgement and have a good attitude temperament and patience. Ability to multitask without becoming overwhelmed. Must demonstrate ability to positively interact with teammates customers partners and the public.
