The expected starting base salary for this position is $77944 - $81416 annually depending on a variety of factors including qualifications and experience. Once hired you will progress through a wider salary range over time as you continue to develop job knowledge skills and competencies for the role.

Working with us allows you to enjoy flexible hybrid work. This position is located in Vancouver but youll be able to work remotely up to 3 days a week. Our office is closed for the 11 statutory holidays in B.C. as well as Easter Monday and Boxing Day.

What youll be doing

Reporting to the Manager Project Management and under the guidance of the assigned Project Managers the Project Coordinator (PC) supports project delivery across multiple initiatives. The PC assists in planning tracking and reporting on project progress and performance. They are responsible for collecting and analyzing data preparing reports and dashboards supporting project governance and documentation processes and maintaining tools and systems related to project management.

This role is key in helping ensure that projects remain on track stakeholders are informed and project standards and methodologies are followed consistently throughout the organization.

The ideal candidate will have strong organizational skills proficiency in Azure DevOps (ADO) MS Project MS Office Suite (particularly Excel) Visio and experience in managing program budgets tracking RAID items and facilitating effective communication among stakeholders. The PC will be instrumental in maintaining program documentation and tracking progress to support effective and efficient program execution.

Key responsibilities include:

  1. Coordinate project activities and assist the assigned Project Manager in planning executing and monitoring all phases of the projects.
  2. Maintain and update various schedule and project planning in MS Project.
  3. Under the guidance of the assigned Project Managers takes part in creating and managing the Project Governance Process (PGP) documentation including updating project plans status reports presentations and other governance documents.
  4. Collaborate with Project Managers to ensure project interdependencies are tracked and documented.
  5. Support the monitoring and tracking of project expenses including reconciling of invoices to ensure adherence to the allocated budget.
  6. Liaise with finance team and assist Project Managers in preparing and entering data in budget reports and forecasts
  7. Use Azure DevOps (ADO) to track and manage all Risks Actions Issues and Decisions (RAID).
  8. Regularly update RAID logs and ensure timely follow-up on all action items.
  9. Communicate RAID status and progress to the Project Managers and relevant stakeholders escalate concerns with the Manager Project Management
  10. Coordinate and facilitate meetings including preparing agendas taking minutes and distributing action items. Edit and share AI-generated summaries

Your education & skills

  • Bachelors degree in Business Administration Information System Computer Science or in a related discipline with a minimum of three (3) years recent related program and/or project coordination experience in a large complex service organization or an equivalent combination of education training and experience.
  • Experience in creating dashboards using Power BI reports or Power Apps platform and proven analytical skills and experience in business intelligence tools.
  • Excellent communication skills with experience presenting and facilitating.
  • Good understanding of project management processes and methodologies
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • An attention to detail and strong writing and documentation skills.
  • Advanced knowledge and experience using project management software such as Microsoft Project and ADO (Azure Dev Ops) as well as MS Office including but not limited to MS Word Excel PowerPoint Visio Outlook.
  • Excellent verbal and written communication skills and demonstrated experience dealing with individuals at all levels in a professional environment
  • Demonstrated self-starter and critical thinker with excellent analytical and problem-solving skills
  • Ability to work well under pressure and meet deadlines.
  • Strong ability to identify issues and to develop and analyze solutions to resolve problems.
  • Ability to work independently and as part of a team.
  • PMP CAPM or Scrum certification is an asset
  • Experience with portfolio management tool such as OnePlan is an asset.
  • Knowledge of Canadian colonial impacts on Indigenous people in social and health contexts including social economic political and historical realities impacting Indigenous communities and knowledge of Indigenous-specific anti-racism and accompanying reports (e.g. The Truth & Reconciliation Commissions 94 Calls to Action (2015) the In Plain Sight Report (2020) and Reclaiming Power and Places Calls for Justice (2019)) is an asset.
  • Demonstrated understanding of equity diversity inclusion and cultural humility as they apply to health care is an asset.
