Job Description

Job Title: Student Accounts Receivable Manager
Department: Business Office
Reports To: Controller
FLSA Status: Non-Exempt

Role: The Student Accounts Manager is responsible for overseeing Accounts Receivable including the billing and collection processes to minimize delinquent accounts while optimizing the student experience. They will work directly with students parents faculty staff and outside agencies to provide customer service while communicating and following university policies and institutional regulations.

Essential Functions & Responsibilities:

  • Oversees and coordinates student billing processes within the department to review troubleshoot and prepare bills for distribution.
  • Review and resolve billing problems with students parents and outside parties. Identify billing issues and communicate with other departments to make corrections and improve processes.
  • Collect receipt and post all cash receipt transactions into the appropriate system.
  • Supervise train and ensure university policies are followed by all Student Accounts staff.
  • Attend registration/move-in events and meet with families regarding payment of student bills and answer student account questions. Answer daily inquiries from students or parents via phone calls emails and walk-ins to resolve any questions or issues.
  • Manage efforts for past-due billing. This includes creating lists of applicable students sending statements making phone calls placing student accounts on hold mailing past-due letters maintaining the relationship with our collection agency and sending accounts to collections.
  • Work with our payment processing partner Nelnet to facilitate student payment and payment plans.
  • Process itemized statements and authorizations for Third Party billing.
  • Calculate and post charges upload charges and payments and assist with Bookstore payment processing.
  • Review write maintain and enforce Student Account policies/procedures.
  • Prepare and manage the processing of student refund batches.
  • Prepare and issue Federal Form 1098T to students.

Performance Measurements:

  • Prepare billing reports and other communications accurately and manage the prescribed time frame and deadlines.
  • Keep all assigned general ledger accounts current and balanced.
  • Assist others within and outside the department as needed.
  • Maintain a professional work environment and businesslike appearance.
  • Carry out assigned responsibilities according to established department standards.

Knowledge and Skills:

Experience - At least two years of billing Accounts Receivable and collection experience.

Education - A two-year college degree is required while a bachelors degree is preferred. Completion of specialized collections training is also preferred.

Interpersonal Skills - Courtesy tact and diplomacy are essential elements of the job. Work involves much personal contact with others inside and outside the organization for purposes of giving or obtaining information building relationships or soliciting cooperation.

Other Skills - Must be proficient with Microsoft office software and possess advanced Excel skills. Experience with billing software systems is preferred.
