Job Description

Note: We have openings for the Miami and Fort Lauderdale locations. This position requires employees to be on-site five days a week.

Note: The qualified candidate for this position must have at least 1 year of experience in a legal/law firm setting.

Job Description

The Office Services Coordinator will report to the Office Managers and is a key member of the administrative team responsible for maintaining the day-to-day office flow and ensuring operational support across departments.

  • Handle printing scanning copying and mailing needs for the office
  • Pick up and distribute daily mail and packages (FedEx UPS USPS)
  • Ensure outgoing shipments are correctly labeled and sent out on time
  • Restock copy and printer stations daily
  • Deliver inter-office mail hourly
  • Assist in preparing materials and rooms for trials meetings and events
  • Perform light copier maintenance (e.g. toner paper orders basic troubleshooting)
  • Keep conference rooms and common areas clean and stocked
  • Coordinate delivery schedules and make occasional local pickups/drop-offs
  • Support office supply and kitchen inventory management
  • Cover receptionist desk when needed
  • Participate in office setup and cleanup for special events
  • Other duties as assigned

Qualifications

  • High school diploma or equivalent
  • Minimum of 1 year of experience in a legal/law firm setting
  • Strong communication and interpersonal skills
  • Proficient in Microsoft Office (Word Outlook Excel)
  • Able to handle physically active tasks (lifting up to 10 lbs event setup/cleanup)
  • Must be flexible to work occasional overtime or adjust hours for early arrivals/late departures
