Latin School of Chicago seeks a detail-oriented Events Manager to drive the planning and execution of engaging events in support of the goals and objectives of the School. This is a highly collaborative role that will work closely with a diverse set of constituents across multiple internal teams community volunteers and external vendors.

This is a full-time in-person 12 month role that requires working some evenings and weekends during the school year.

ESSENTIAL RESPONSIBILITIES:

Event Management:

  • Plan and manage annual events for purposes of community building stewardship and/or fundraising including:
  • Develop and document event goals financial and nonfinancial and track progress toward attainment.
  • Coordinate vendor catering and logistic needs with departmental supervisors (or their designees).
  • Track and manage event expenses while adhering to established budgets.
  • Utilize School databases and other platforms to manage event RSVPs guest lists and other factors associated with participation such as seating charts and special accommodations.
  • Develop a run-of-show for events and ensure participating team members and volunteers are prepared for their roles as appropriate.
  • Prepare the Head of School and other key administrative staff for events by creating attendee bios and other relevant materials.
  • Drive communication efforts associated with all events including invitations social media posts RSVP reminders/confirmations special instructions for guests presentation materials/talking points and peer-to-peer outreach.
  • Review event performance and course correct strategies for future events as needed.
  • Other duties as assigned

Volunteer Management:

  • Coordinate and support volunteer efforts associated with event planning and logistics; serve as staff liaison for all event-related committees prepare materials for committee meetings as appropriate and assist with fulfillment of assigned tasks.
  • Develop comprehensive post-event strategy sessions in order to reflect on the successfulness of events refine future events deepen attendee engagement; and develop post-event communications.
  • Other duties as assigned.

Qualifications

Education and Experience:

  • Bachelors degree or equivalent educational attainment;
  • 3 or more years of experience in event management nonprofit fundraising or related field;
  • Experience with volunteer management;
  • Experience in a school or educational setting preferred; and
  • Familiarity with the Chicago landscape of private event venues and vendors.

Required Skills/Abilities:

  • Organized self-starter with impeccable attention to detail and the ability to manage multiple competing priorities;
  • Ability to work in a high-paced environment and effectively pivot from one task to the next on a frequent basis;
  • Ability to manage projects with several variables set realistic deadlines manage a timeline and ensure accountability;
  • Strong verbal and written communication skills;
  • Collaborative work style with a focus on providing exceptional service across multiple constituencies;
  • Excellent interpersonal and relationship management skills; and
  • Computer proficiency including familiarity working with project management tools and Google Office Suites.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer;
  • Ability to work some evenings and weekends; and
  • Ability to lift and carry items weighing up to 30lbs.
