Job Description

Position TitleASWWU Advising Support CoordinatorAbout the PositionThe ASWWU Advising Support Coordinator is responsible for coordination of the day-to-day administrative operations and organizational continuity needs of the ASWWU Governance Advising Program. This includes supporting student employees in ASWWU Government and Civic Action Programs in understanding and following administrative procedures required by the program such as expenditure requests/tracking travel requests/reconciliation and WA State Open Public Meetings Act (OPMA) compliance.

Supervised by the Director ASWWU Governance Advising Programs this position coordinates operational guidance and procedural support for ASWWU Government and Civic Action Programs. The Support Coordinator must communicate and collaborate with a wide range of ASWWU and University Offices Programs and Staff to support critical operational continuity and ongoing alignment of program procedures with program mission University policies and procedure and WA State law.

This is a permanent .80FTE position. The State HR classification for this position is Program Coordinator.

Required Qualifications
  • High school graduation or equivalent with four years of full-time administrative professional experience or Bachelors Degree with 1 year of full time (or equivalent) professional administrative support experience.
  • Demonstrated experience using MS Office Suite with at least intermediate experience in Word Excel and Outlook.
  • Demonstrated experience using financial tracking and resource management platforms.
  • Experience taking meeting notes/minutes coordinating and disseminating paperwork for meetings.
  • Experience using digital/online platforms (preferably MS Teams) for communication file management and meeting support.
  • Demonstrated experience working successfully with and supporting individuals with diverse backgrounds and identities and a strong commitment to creating a culturally responsive environment for staff and students the delivery of programs that support diversity objectives and the development of cultural engagement and responsiveness skills.
  • Demonstrated experience in a work setting that requires confidentiality.
  • Demonstrated organizational and time management skills with an ability to manage multiple tasks in a dynamic work environment with frequent interruptions.
  • Demonstrated experience communicating effectively and professionally including written and interpersonal.
  • Ability to work occasional evenings/weekends to support program activities.
Preferred Qualifications
  • Bachelors degree with 2 or more years of professional administrative support experience.
  • Experience publishing materials/content to websites.
  • Experience supporting budget and contract processes.
  • Experience in event planning logistics.
  • Demonstrated experience providing support for a governing board including coordinating meetings taking minutes filing motion record keeping and distribution of official documents.
