JOB SUMMARY The Leadership and Guided Development department provides engagement opportunities for members through volunteerism and engagement that attract educate motivate and inspire members. The Volunteer Services Associate will provide administrative support development and implementation of department responsibilities and initiatives for MDRT MDRT Academy and MDRT Center for Field Leadership. The Volunteer Services Associate is a team member of the Leadership and Guided Development department and reports to the Volunteer Engagement Manager. RESPONSIBILITIES
- Provide administrative assistance in support of assigned committee and volunteer activities: 1) Responsible for assigned committee-related data management to include the preparation and distribution of committee invitations and evaluations. 2) Administer all aspects of travel arrangements for assigned committee member volunteers including coordination with Meeting Services on hotel room requirements. 3) Update committee documents as assigned. 4) Assist with preparation for the Leadership Orientation and Global Council meetings. 5) Monitor the inbox. 6) Assist with coordination of translation and interpretation needs for assigned committees. 7) Manage the Committee Reporting Process including template creation solicitation collection review and packaging division/committee reports for Executive Committee Agenda books and posting final reports on ATM.
- In-house meetings (for assigned meetings): Organize and follow-through with all aspects of in-house committee meetings to include: reserving conference rooms coordinating catering and transportation. Work with staff liaison(s) to provide meeting supplies (table tents names badges) as needed for all member-related meetings.
- Responsible for in-house committee meeting conference center support (meeting room set-up provide general support to liaisons coordinate F&B set-up/tear-down with caterer and monitor beverage/break needs and end-of-day clean-up).
- Provide administrative support for MDRTs mentoring program and community/connections initiatives.
- Serve as assistant staff liaison to assigned committees.
- Document and update on-going department best practices processes and procedures.
- Other projects and responsibilities may be assigned by department discretion.
KNOWLEDGE SKILLS &ABILITIES The ideal candidate possesses the following: - Experience with administration and/or program management.
- Experience implementing a system: evaluating the needs of different groups identifying ways to meet those needs and developing a system (e.g. process tool etc.) that meets the needs of multiple users or groups.
- Computer proficiency with Microsoft Office (Windows Word Excel PowerPoint) required. Experience with web-based databases and file-sharing applications is preferred.
- Exceptional organizational project management and prioritization skills required.
- Initiative and attention to detail when following through on important priorities.
- Ability to overcome obstacles work independently solve problems and manage multiple projects to completion.
- Strong interpersonal skills tact and demonstration of professionalism in the workplace.
