What this job involves

The Move Coordinator is responsible for the outcome of the move related projects customer satisfaction move communication as well as transparency and reconciliation of costs associated with all move-related activities. Responsibilities of this role include but are not limited to coordination and execution of small and large office moves and space conversions.

Project Planning and Execution

  • Maintain update and distribute accurate status updates to the project schedule and provide regular reporting stakeholders on project progress

  • Gather details needed for project initiation and coordinate kick-off meetings with proper teams

  • Review space change requests as a team to ensure the best utilization of available space

  • Act as liaison between facilities teams and vendors communicating any change requests to stakeholders

  • Prepare maintain and distribute communications related to recurring project requests schedules and progress

  • Track vendor supplied items and coordinate dates of delivery with Project Managers IT and vendors to confirm deliveries coincide with requirements to meet project deadlines

  • Consistent follow up with vendors on all project related action items

  • Submit service tickets requesting test fits CAD files space cleanings including other project related activities

Project Closeout

  • Review the space post completion documenting lessons learned and best practices to improve efficiency

  • Update seat assignment data and ensure accurate reporting

  • Aid in the build out of standard operating procedures for project related activities.

  • Troubleshoot all lost or misplaced items

  • Schedule vendor for scrap pick up recycle or reuse excess furniture and remove chairs

  • Other projects special assignments and administrative duties as assigned

Customer Experience

  • Manage all new hire onboarding information - reach out to admins/managers

  • Update project matrix fill in customer information technical requirements

  • Communicate with client on upcoming projects and impact on business

  • College preferred but not required with at least 3 years experience in a corporate environment

  • Proficiency in a range of information technology tools and platforms

  • Strong analytical organizational and presentation skills

  • Excellent written and verbal skills

Estimated total compensation for this position:

60000..00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicants education experience skills abilities geographic location internal equity and alignment with market data .
