Job Description

Come join our Corporate Accounting Team! We have an immediate job opening for an Office Manager at our Woods Cross location. If you have experience with the auto industry in accounting and office management apply now!

The Office Manager is responsible for overseeing the day-to-day operations of the accounting office including managing accounting processes ensuring compliance with regulations and overseeing training of the accounting staff. The role requires strong leadership attention to detail and a thorough understanding of financial management and accounting principles.

Essential Job Responsibilities:

  1. Office Management Duties:
    • Manage and oversee daily operations of the dealership accounting office ensuring efficient workflow across all administrative functions.
    • Coordinate schedule management for financial reporting cycles and meetings ensuring timely completion of tasks.
    • Assist in the preparation of financial statements and reports when needed. Be an intricate part of EOM closing.
    • Communicate effectively with store controllers and internal departments regarding operational needs.
    • Keep Corporate Dealership Controller informed of any key issues to the financial activities and accounting staff.
    • Ensure compliance with all company policies state regulations and manufacturer requirements.
    • Assist in reconciliation of bank statements schedules and general ledger accounts.
    • Any other duties assigned by Corp Dealership Controller.
  2. Team Leadership:
    • Manage mentor and train the accounting team.
    • Conduct performance evaluations and provide guidance for staff development.
    • Lead by example by following internal office policies.
    • Be available to assist with completion of any accounting tasks by the staff when needed. Cross trains in all job functions.
  3. Strategic Planning:
    • Participate in strategic planning and decision-making regarding financial and operational goals.
    • Support Controllers with long-term financial planning and analysis.
    • Assist in identifying opportunities for cost reductions and process improvements.

Qualifications:

  • Education: High School Diploma
  • Experience: 3-5 years of experience in accounting management with at least 2 years in a supervisory or leadership role.
  • Skills:
    • Strong understanding of accounting principles.
    • Proficiency in accounting software and ERP systems (e.g. QuickBooks SAP Microsoft Excel).
    • Excellent leadership communication and organizational skills.
    • High attention to detail and accuracy.
    • Ability to manage multiple tasks and work under pressure to meet deadlines.

Physical Requirements:

  • Office Environment: The role typically requires sitting for extended periods of time at a desk or workstation.
  • Keyboard and Mouse Use: Frequent use of a computer and other office equipment requiring fine motor skills for typing data entry and handling financial documents.
  • Lifting and Carrying: Occasional lifting of office supplies files or boxes (up to 20 pounds).
  • Standing and Walking: Ability to stand walk or move around the office to meet with staff or gather documents.
  • Visual Requirements: Ability to read and review financial documents reports and data on a screen requiring good visual acuity.
  • Mental Stamina: The ability to focus for long periods and handle complex financial analysis and decision-making especially during month-end and year-end processes.

Driving Requirements:

  • Occasional Travel: The Office Manager may be required to drive to various company locations client meetings or external offices as necessary for the role. This could involve driving within the local area or occasionally for longer trips depending on the business needs.
  • Valid Drivers License: A valid drivers license is required for employees who are expected to drive as part of their job responsibilities.
  • Reliable Transportation: The individual must have reliable transportation for business-related travel including meeting clients attending conferences or visiting branch offices.
  • Physical Driving Requirements: Ability to drive for extended periods (up to several hours) requiring physical stamina to operate a vehicle safely.
