Description

The LIVE Learning Innovation Incubator at Vanderbilt University unites faculty students staff and external partners to research develop and implement technologies that enhance learning. It brings together interdisciplinary teams of researchers and strategic partners to create cutting-edge innovations that empower individuals communities and organizations to thrive in our rapidly changing world. By integrating advanced computational methods artificial intelligence and innovative teaching strategies LIVE delivers impactful solutions to complex challenges.

The Core Initiatives Manager will be a central member of the LIVE team responsible for ensuring effective and efficient operations and supporting the continued growth of LIVE. An essential part of the position is cultivating community by facilitating collaborations and coordinating events across interdisciplinary teams of researchers students and developers. TheCore Initiatives Manager will ensure clear and consistent communication about LIVE efforts to both internal and external audiences by developing and maintaining LIVEs digital and public presence. The ideal candidate is organized detail-oriented and resourceful with a strong ability to bring structure to open-ended tasks and keep complex efforts on track.

The Core Initiatives Manager reports directly to the LIVE Director works in concert with the LIVE Board and other LIVE members and will supervise LIVE administrative staff as the initiative scales. This is a full-time in-person position.

Duties and Responsibilities

Operations & Program Coordination

  • Oversee and manage daily operations for LIVE including scheduling purchasing room reservations and internal coordination
  • Plan and execute logistics for LIVE-hosted events such as seminars workshops meetings and special programming
  • Coordinate recurring programs and initiatives supporting their planning execution and continuous improvement
  • Develop and maintain systems tools and processes that support coordination across LIVEs technical and non-technical teams including project tracking shared documentation and workflow management
  • Serve as the primary liaison between LIVE and other Vanderbilt departments such as HR finance facilities and IT to address LIVEs operational needs
  • Manage LIVEs physical space technology and equipment including overseeing office facilities coordinating maintenance or repairs managing inventory and ensuring workspaces and shared resources support team productivity and events

Strategic Communications & Engagement

  • Develop and implement communication strategies that elevate LIVEs research faculty achievements partnerships and programs
  • Manage LIVEs digital presence including website updates social media (LinkedIn) and email newsletters (via MyEmma) ensuring content reflects LIVEs evolving work and impact
  • Create and distribute communication materials such as PowerPoint presentations flyers and promotional content for events and initiatives
  • Track and analyze success metrics for digital communications and propose strategies to expand LIVEs visibility and engagement

Budget & Procurement

  • Lead financial management including budget development expense tracking and financial planning for grants and programs
  • Manage and coordinate contracts and payments for vendors contractors and service providers
  • Monitor and reconcile budgets across multiple projects and funding sources ensuring accuracy and compliance
  • Process financial transactions including expense reports reimbursements and vendor payments in accordance with university policies
  • Collaborate with Vanderbilts finance team to prepare regular budget reports monitor account balances and forecast future spending
  • Manage the administration of LIVE issued grants including tracking expenditures and maintaining required financial documentation for reporting

Supervisory Relationships
This position does not have direct supervisory responsibilities but collaborates extensively with faculty staff and external partners. The role reports to the Director of LIVE.

Qualifications

A BA/BS or MA/MS degree or equivalent from an accredited institution of higher education is required preferably in business administration public administration nonprofit management human resources or a related field. Interest and experience in education and/or computer science is beneficial.

  • Minimum of 2-3 years of operations or administrative experience
  • Experience managing office operations and budgets organizing events planning communications and working with detailed administrative/financial data
  • Track record of successfully managing competing demands under tight deadlines while maintaining a high level of professionalism and attention to detail
  • Strong organizational interpersonal and problem-solving skills and demonstrated ability to use effective processes and systems coordinate people projects and logistics to ensure goals are accomplished
  • Ability to work efficiently and independently in a fast-paced and dynamic environment and be creative and flexible in response to complex work situations
  • Experience using marketing design and website software (e.g. Canva MyEmma WordPress)
  • Fluency in Microsoft Office software including Word Excel and PowerPoint is required
  • Experience working in a higher education setting is preferred
  • A general knowledge of education education technology and associated terminology preferred
