Description

TheAssociate Director for Campus Events is often the first to interact with visitors and campus guests over the phone and within the Office of Admission and should be welcoming friendly helpful and hospitable. This position will be responsible for the coordination facilitation and management of the campus visit experience for prospective students. The Visit Coordinator oversees approximately 25 student employees and is responsible for assisting with the process of hiring scheduling and training these workers in conjunction with the Assistant Director of Events & Visits. This position also provides some administrative support to the Assistant Director of Events & Visits and to the Assistant Vice President of Enrollment.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following (Other duties may be assigned.):

  • Complete opening/morning procedures before approximately 8:15 am
  • Field phone calls and provide necessary follow-up
  • Assist in the coordination of visit scheduling including:
    • Updating of Master Calendar
    • Communication with staff and faculty regarding their role in visit experience
    • Providing daily email communication to campus regarding expected visitors
    • Serve as liaison to campus faculty/staff regarding visit program-based information
    • Set up events in Slate (CRM)
    • Assist in evaluation of visit experience
    • Aid any other necessary functions impacting visit program success
    • Attend and support campus visit events as needed
  • Inventory and order office supplies and recruitment materials as needed for events and visits
  • Assist with mailings and data entry as needed
  • Oversee Student Ambassadors and work with the Assistant Director of Events and Visits to hire train and schedule these students
  • Assist with planning and execution of campus events as needed

This position has supervisory responsibilities of the student ambassadors.

Qualifications

KNOWLEDGE SKILLS & ABILITIES: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required.   • Education and / or Experience Associates degree (A. A.) or equivalent from a two-year college or technical school preferred; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
  • Computer Literacy / General Office Equipment Proficiency in Microsoft Office Suite (Excel. Word Outlook. PowerPoint) Internet. Basic office equipment to include facsimile copier machines printer and calculator is required. Experience with Slate or another CRM system is preferred.
  • Communication / Language Requires effective oral and written communication skills and excellent interpersonal skills. Ability to read/write routine email correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Mathematical Ability to calculate figures and amounts such as discounts interest commissions proportions percentages area circumference and volume. Ability to apply concepts of basic algebra and geometry.
  • Reasoning Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
