BASIC FUNCTION:
Iowa Health Care is seeking a Division Administrator in the department of Internal Medicine to perform manage and lead activities to assure that health services medical care medical/health professions education and research programs are delivered effectively and efficiently. This positions focus is to plan organize and direct Hospital Medicine health care operations clinical education programs grant/contract operations and financial services.
Key Areas of Responsibilities and Specific Job Tasks:
Human Resources Management
- Work closely with Human Resources to oversee recruitment on-boarding and off-boarding for divisional faculty and APP staff. Create proforma and supporting financial data and utilize benchmarks to recommend salary and productivity targets.
- Ensure divisional compliance with HR policies. In partnership with Human Resources provide advice and guidance on HR policies including benefit time utilization FMLA-related questions staffing and recruitment needs benefit offerings for incoming faculty and staff and other items as needed.
- Provide administrative and functional supervision to assigned support staff. Evaluate administrative staffing levels and assignments.
Financial and Data Management and Analysis:
- In collaboration with division and department leadership develop the annual divisional RVU projection and operating budget. Actively monitor actual versus budgeted performance and implement improvement plans as needed to address unfavorable variances. Project future productivity and expenditure needs based on execution of strategic goals and/or growth and implementation of divisional/clinical programs.
- Review clinical templates/schedules and clinical productivity metrics as they relate to meeting relevant budgets and offer recommendations as necessary to assist in meeting budgets and targets. Collaborate with appropriate parties to implement process improvements.
- Manage faculty salary allocations. Identify discrepancies and rectify as necessary.
- Gather and aggregate financial data from appropriate data sources analyze performance and determine budgetary need.
- Serve as liaison between providers and coding representatives to educate providers and implement best practices to ensure appropriate coding and documentation and to maximize revenues.
- Maintain reports on clinical productivity and present to divisional/departmental leadership and individual faculty.
- Project and monitor faculty compensation plan performance. Ensure performance is appropriately captured and rewarded by monitoring clinical schedules RVU productivity and/or salary sourcing. Identify discrepancies and rectify. Meet with faculty to discuss individual performance.
- Collaborate with divisional leadership to develop and execute relevant compensation plans. Calculate incentive plan distributions and submit transactions for timely payouts.
- Approve financial transactions monitor divisional accounts advise on appropriate account for expenditures and review expenditures to ensure appropriate guidelines/policies are met.
Operations Standards of Care Regulatory Compliance Quality and Patient Satisfaction:
- Ensure compliance on division department and enterprise policies/procedures. Includes Iowa Health Care and UI staff and faculty compliance trainings Department of Internal Medicine and UIP billing/compliance requirements clinical assignments expenditures on grant and non-grant related accounts and other enterprise requirements.
- Review patient satisfaction reports and comments. Disseminate to pertinent parties including division directors clinical leaders and providers. Provide recommendations/guidance as it relates to patient satisfaction data/trends/concerns. Identify trends and/or themes and engage appropriate parties to rectify as necessary.
- Lead and help support operational and quality improvement projects. Coordinate with division department and hospital leaders to achieve key goals such as improving length of stay patient experience documentation etc.
Patient Care/Services Delivery:
- Assist in the implementation of new clinical programs and initiatives to ensure success for patients and providers alike. Gather analyze and present data including anticipated volumes site of service etc. Engage appropriate parties to ensure success of new ventures.
- Collaborate with clinical leadership to oversee patient activities and ensure successful clinical enterprise.
Planning and Goal Management:
- Manage the implementation of divisional strategic plans to completion. Monitor and track project progress and provide data reports. Coordinate and manage the implementation of short-and long- range goals for the Division of Hospital Medicine.
Communication/Collaboration:
- Regular collaboration/communication with departmental and institutional leaders as needed to ensure the successful execution of clinical education and research programs and that the needs of our faculty are met. Serve as advocate for providers while ensuring needs of patients are met.
Education Programs:
- Assist in the dissemination of evaluations and feedback as it relates to educational programs. Participate in communications pertaining to feedback.
- Ensure divisional compliance with educational requirements through collaboration with division director program director division coordinator and fellowship coordinator.
- Serve as liaison for providers to identify clinical education needs and identify appropriate parties to develop competency in necessary areas.
Research Administration:
- Collaborate with the departmental research team to review current and upcoming funding and project potential budgetary lapses. Work with division director to identify solutions including funding applications bridge funding reallocation of clinical assignments and identification of additional funded activities.
- Review requests for hire for new research staff. Ensure adequate funding is available to support hire.
TECHNICAL COMPETENCIES:

QUALIFICATIONS:
Required Qualifications:
- Masters of Hospital Administration Business or equivalent combination of education and experience is required.
- At least three years of progressive administrative experience including fiscal management and operational responsibility.
- Excellent interpersonal skills with ability to exercise discretion in matters of confidential and sensitive nature.
- Excellent problem-solving customer service and conflict resolution skills as demonstrated by the ability to work effectively with individuals and/or teams.
- Must possess strong organizational and analytical skills and attention to detail.
- Proficiency in computer software and applications including Word Excel PowerPoint and Outlook.
- Demonstrated knowledge of effective strategies for working with faculty staff and students from a variety of backgrounds and perspectives.
Desired Qualifications:
- Proven experience in a hospital and/or academic medical setting.
- Reasonable knowledge of University of Iowa policies rules and regulations.
- Demonstrated ability to analyze complex data sets.
- Experience with inpatient operations.
- Experience leading operational and quality improvement projects.
- Experience leading institutional reporting projects.
- Experience with the education and research missions.
