National Pike Health Center was founded in 2001 as a clinic dedicated to offering behavioral health counseling to children adolescents adults and families. Decades later with 2 locations we are more committed than ever to providing these clients with quality service and a sense of community.
NPHC is a community-based Outpatient Mental Health Center with offices in Catonsville Dundalk and Westminster. We provide mental health therapy and a psychiatric rehabilitation program (PRP) for all ages and groups. A multidisciplinary team of outstanding mental health therapists psychiatrists rehabilitation coordinators and administrative staff joins us on this mission. From inception through treatment there is an ongoing planning and review of each case until the client is discharged. Our preventative and therapeutic outpatient mental health services provide treatment and psychiatric rehabilitation based on continually monitored and individualized treatment and/or rehabilitation goals. This administrative role helps us achieve these goals.
Location: In-Person Schedule: Monday Friday 8-Hour Shift
Employment Type: Full-Time 40 hrs/week)
Pay: $20-$25/hour

Overview:
National Pike Health Center is seeking a proactive and detail-oriented Administrative Assistant to join our Behavioral Health Team. This position plays a vital role in supporting clinical and administrative operations coordinating intakes maintaining compliance managing client records and coordinating with other support staff.

Key Responsibilities:
Monitor and track treatment plans OMS/ITP diagnostics and consents for compliance with COMAR timelines
Schedule and track annual diagnostics psychiatric evaluations
Collaborate with the Location Director on caseload assignments and denial letters with higher-level care options
Ensure Medicaid eligibility and coverage is active for all EVS clients
Send out acceptance denial and therapist introduction letters
Maintain a no-show list and document all client contact attempts
Other tasks as needed.
Assemble and audit intake packets and binders per Joint Commission standards
Verify referral details (e.g. MA number DOB SSN) and input client data into Valant
Send collaboration and medical record requests to PCPs schools or other providers
Update release of information forms annually

Obtain and track initial authorization
Office Operations & Administrative Duties
Manage phones voicemails and incoming faxes
Create and maintain transportation schedules
Track office supply levels (e.g. prescription pads paper snacks) and petty cash
Supervise transportation staff lobby supervision and office assistant coverage
Attend monthly administrative meetings
Ensure cleanliness and supply of restrooms printer stations and lobby areas
Organize and file client documentation securely
Other tasks as needed
Confirm client and doctor appointments the day before and on the day of
Supervise clients in the lobby and offer snacks as needed
Reschedule missed diagnostic appointments promptly
Maintain accurate and up-to-date client contact and authorization records
