About the Role:
The Team Assistant will support the Chief Claims Officer International and the wider claims team. This position will be based in our London office with a hybrid schedule of working two days remote each week.
Core Responsibilities
Diary management and Coordination
Maintain and manage busy diaries ensuring that time is effectively planned there are no scheduling conflicts especially when arranging meetings across different time zones and considering current priorities and the need for focus time.
Inbox management - monitoring emails to ensure appropriate and timely responses are given. Maintaining filing/storage of messages and flagging urgent requests.
Preparation for meetings and administrative support when required including:
- Preparing & reviewing papers and packs for meetings;
- Preparing & reviewing PowerPoint presentations;
Full coordination of meeting scheduling and cycles both internally across Everest Global Markets & Everest Group and with external parties ensuring preparation time for meetings; creation of meeting agendas; taking minutes at meetings; making sure action points are followed up on in a timely fashion.
Planning and assisting with organising conferences offsites team and social events.
Travel management and expense management
Organising travel and preparing travel itineraries for the team incl. compiling of travel packs to include itineraries hotel bookings visas contact details and boarding passes where appropriate.
Monitor and reconcile expenses ensuring adherence to budget guidelines.
Fully responsible for preparation and submission of expense claims using the Expense Management system (Concur) and reviewing.
Other duties
Partner with existing EAs and Team Assistants both UK and US based to ensure urgent requests are accommodated and support with other miscellaneous tasks.
General administration duties for the team including photocopying filing scanning etc. as required.
Essential Experience
Experience supporting executive leadership.
Experience supporting more than one person with a proven track record of implementing creative solutions to the challenges of co-ordination of work and diaries.
Proven experience managing high-level complex diary and travel management.
Skills Abilities & Attributes
Fantastic interpersonal skills and a confident communicator.
An ability to manage several stakeholders with competing demands.
Can work with discretion and use experience and judgement to involve appropriate people in processes and decision making.
A willingness to learn and solve problems and work proactively with minimal supervision.
Excellent attention to detail time management and organisational skills.
Co-ordination planning and organisation skills with the ability to prioritise tasks and adapt to new and changing priorities.
Excellent IT skills proficient in Microsoft Word PowerPoint Excel and Adobe Acrobat.
