The Position:
Reportingto the Executive Director of Advancement the Alumni Engagement Officer plays avital role in supporting and executing the schools alumni engagement role focuses on building and maintaining strong alumni relationshipsmanaging key programs and events and coordinating volunteer efforts to fostera connected vibrant alumni community. Working closely with colleagues acrossthe Advancement team the Officer brings initiative and creativity to implementengagement initiatives that deepen alumni connections and support the schoolsmission.
Specific Accountabilities:
Program and Relationship Management
- Support the delivery of alumniengagement initiatives including mentoring programs milestone reunionsregional events and other community-building activities; ensuring alignmentwith the overall strategy set by the Executive Director.
- Build andmaintain positive ongoing relationships with alumni volunteers regionalleaders and young alumni providing them with resources and support toactively engage with the school community.
- Collaboratewith the Executive Director and Advancement team to help implement strategicpriorities and maximize alumni participation.
- Supportreunion class giving efforts by coordinating with the fundraising team tocommunicate key messages and encourage participation in milestone givingcampaigns.
Event Planning and Execution
- Lead theplanning and smooth execution of a variety of alumni eventson campus andregionallyincluding reunions receptions and celebrations.
- Managelogistics coordinate with vendors and volunteers oversee guest experienceand ensure timely follow-up to strengthen alumni engagement.
- Work with theExecutive Director and volunteer leaders on event program development andoutreach.
Communications and Content Coordination
- Oversee theeditorial process for alumni contributions to the schools Chronicle magazineincluding collection editing and liaising with the design agency to meetdeadlines.
- Assist indeveloping and distributing alumni communications such as newsletters andemail campaigns that keep alumni informed and connected.
- Utilizealumni data and feedback to help refine communication approaches.
Volunteer Coordination
- Manage theHavergal Old Girls Association and class representative program supportingvolunteer engagement and committee activities.
- Help recruitonboard and support alumni volunteers ensuring they have the tools andguidance needed to contribute effectively.
- Serve as akey contact for volunteers and alumni interested in engagement opportunities.
Data and Reporting
Representation and Outreach
- Represent theschool at select alumni events and community functions including some regionaltravel.
- Act as awelcoming and knowledgeable contact for alumni engagement inquiries andopportunities.
Qualifications Knowledge and Experience
- Minimum threeyears experience in administration coordination alumni relations donorengagement or event planning preferably within an educational or nonprofitenvironment.
- Post-graduatecertificate or diploma in event management fundraising alumni relations or arelated field is an asset.
- Experienceworking in a school or academic setting is a strong asset.
- Provenability to prioritize and manage multiple projects and deadlines effectively ina fast-paced goal-oriented environment.
- Strongorganizational skills with exceptional attention to detail and follow-through.
- Excellentinterpersonal and relationship-building skills with the ability to engage andcollaborate with diverse stakeholders including alumni volunteers facultyand leadership.
- Ability towork independently and creatively while also functioning effectively as partof a team.
- Superiorwritten and verbal communication skills including the ability to tailormessaging to different audiences.
- Demonstratedtact diplomacy discretion and professionalism in all interactions.
- Strongcustomer service orientation with a commitment to fostering positive lastingrelationships.
- Proficient inGoogle Workspace and Microsoft Office applications with particular strength inExcel for data management and reporting.
- Experienceusing CRM platforms preferably Veracross including maintaining accuraterecords data analysis and reporting.
- Knowledge offundraising principles alumni engagement best practices and volunteermanagement is an asset.
- Familiaritywith digital engagement tools and social media platforms is an asset.
