As an Executive Assistant with our client you will provide administrative support to the team ensuring smooth operations and excellent customer service. Your responsibilities will include managing schedules overseeing e-commerce platforms coordinating wholesale orders handling customer service inquiries and assisting with a variety of administrative tasks.

Our company utilizes tools like Google Workspace Shopify Amazon Seller Dashboard Zoho and Go High Level. We are currently looking for a detail-oriented Executive Assistant to support our team and help streamline our operations. Responsibilities

  • Calendar Management & Scheduling: Manage Dr. Sanda s appointments both professional and personal ensuring efficient use of time.

  • Email Management & Correspondence: Handle incoming emails prioritize messages and respond on behalf of Dr. Sanda when necessary.

  • Research & Information Gathering: Assist with gathering information on new products services and market trends.

  • Task & Project Coordination: Oversee and coordinate tasks and projects across different departments ensuring deadlines are met.

  • Document Preparation & Time Management Support: Prepare documents presentations and other materials as needed; assist in time management and scheduling.

  • Personal & Family Appointments: Coordinate Dr. Sanda s personal and family-related appointments ensuring all schedules are aligned.

  • Travel & Itinerary Planning: Organize travel plans and itineraries for business trips.

  • Event & Gathering Organization: Plan and coordinate events meetings and other gatherings as needed.

  • Home Services Coordination: Manage and schedule home service appointments for Dr. Sanda and the team.

  • Gift Shopping & Research: Assist with purchasing gifts and conducting research on gift options.

  • Online Purchases Management: Manage and track online purchases and set reminders for necessary follow-ups.

  • Customer Service Management: Handle customer service inquiries including product orders and support through email and other communication channels.

  • E-commerce Platform Management: Update product pricing descriptions and inventory across Shopify and Amazon Seller Dashboard.

  • Wholesale Order Coordination: Assist with the management and tracking of wholesale orders and deliveries.



Requirements

  • Experience: Experience as an executive assistant project coordinator or similar role.

  • Customer Service: Proven track record in providing exceptional customer service.

  • E-commerce Platforms: Familiarity with Shopify Amazon Seller Dashboard and other e-commerce platforms.

  • Tools Proficiency: Experience with Google Workspace Zoho Go High Level Kajabi and other online tools is preferred.

  • Organization & Time Management: Strong organizational skills with the ability to prioritize and manage multiple tasks efficiently.

  • Detail-Oriented: Excellent attention to detail ensuring accuracy in all tasks and communications.

  • Communication Skills: Strong written and verbal communication skills.

  • Problem-Solving: Ability to solve problems independently and come up with practical solutions.

  • Project Coordination: Experience in managing multiple projects simultaneously and ensuring all tasks are completed on time.

Previous experience in a medical administrative role (medical assistant, medical receptionist, or similar) is preferred. Familiarity with WebPT EMR and Therabill for patient payment posting is a plus. Strong communication skills, both written and verbal. Ability to manage multiple tasks and prioritize effectively. Excellent organizational skills and attention to detail. High level of professionalism and commitment to maintaining patient confidentiality. Comfortable with remote work and proficient in using virtual communication tools. Knowledge of insurance verification and pre-authorizations is a plus. Ability to work collaboratively with a team and contribute to a positive patient experience.
