Job Description

Position Title: Office Coordinator

Program: Main Office

Reports to: Development and Resource Director/Development Department

FLSA Status: Full-time and Non-Exempt

Pay Range: $19 - $24 hourly commensurate with experience

Work Schedule: Monday-Friday 8:00 AM - 4:30 PM

The Office Coordinator will work under the supervision of the Development and Resource Director and will possess a strong ability to communicate orally and in writing. The position will oversee the day-to-day operation of the agencys administrative office in Hillcrest including navigating walk-in and phone referrals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist with the overall operations of the main office including maintaining a clean and organized work environment.
  • Provide client referrals to programs and resources.
  • Administrative tasks include typing/data entry emailing faxing scanning copying filing and mailings.
  • Answer phones including providing resource navigation and taking detailed messages.
  • Inventory and ordering of office supplies for the main office.
  • Assist staff to complete other administrative tasks.
  • Assist with coordination of meetings and reservations (Board Staff etc.).
  • Assist finance fundraising HR and development departments as needed.
  • Assist directors/managers with the placement of orders.

  • Sitting at a desk for sometimes long and continuous periods of time.
  • Answering or making calls on the telephone for sometimes long and continuous periods of time.
  • Using a keyboard to perform research and to communicate through written means for sometimes long and continuous periods of time.
  • Looking at a computer monitor for long and continuous periods of time.
  • Frequent standing walking reaching lifting (25lbs) and stooping.
  • Exposure to moderate noise levels.

QUALIFICATIONS

Candidates must demonstrate the ability to follow policies and procedures as established in the Companys Employee Handbook. Candidates will also contribute to a positive work environment. In addition the education experience and other skills listed below are representative of the knowledge skills and/or abilities required.

EXPERIENCE & EDUCATION

  • Two (2) years of experience working in an office environment.
  • High School Diploma or equivalent required.
  • Individuals with peer/lived experience are encouraged to apply.

KEY SKILLS SET

  • Ability to communicate in person and over the phone required.
  • Bilingual required.
  • Strong written and verbal communication skills required.
  • Professional demeanor and appearance required.
  • Ability to work well with a diverse and difficult population required.
  • Knowledge of homeless services preferred.
  • Understanding confidentiality protocols and protecting personal information required.
  • Ability to organize and prioritize projects and multiple tasks in an effective and timely manner required.
  • Effectively problem-solve and maintain composure in high-pressure situations required.
  • Ability to work independently with minimal daily supervision required.

EQUIPMENT AND APPLICATIONS

  • High proficiency in MS Office including Word Excel and Outlook.
  • Working knowledge of all standard office equipment.
