Job Description

Summary: The Registrar Coordinator is primarily responsible for providing general office support to students/alumni via email in person and phone and supporting functions of the Office of the Registrar relating to assigned programs such as registrations status change processing graduation billing and preparation diploma management and printing maintaining academic records records retention and ongoing training and support of the SFS/Registrar Assistant. This position reports to the Associate Registrar.

Essential Duties and Responsibilities

  • Assume responsibility for academic programs as assigned by the Associate Registrar and Registrar to include course set-up registration web registration transfer credit posting add/drop and status change processing grading questions and coordination and graduation processing.
  • Maintain monitor & update curriculum for assigned academic programs.
  • Oversee all record retention activities to ensure timely transfer of files from admissions scanning of academic records auditing of student files and maintenance of graduate scan files for accuracy and purging of record retention document and update annually as needed.
  • Train and back up the SFS/Registrar Assistant in the following areas:
    • Provide backup phone support for the Registrars office to include answering general questions and forwarding calls as appropriate.
    • Monitor azregistrar and azinternational email accounts and provide general information to students/alumni.
    • Provide general information to students/alumni via email in person or phone.
    • Process verification of enrollment forms and phone requests verification letters and name changes as required and assigned.
    • Process student loan deferment requests for students/alumni via email and in person.
  • Release transcripts as requested by students alumni and faculty following FERPA guidelines.
  • Provide transcripts following degree posting as needed and complete documents for credentialing as required.
  • Process student information updates in the Student Record database.
  • Hire and supervise work study students if necessary.
  • Process Loan Clearinghouse reports and the transmission of reports as assigned by the student questions regarding loan deferment processing.
  • Assist with graduation activities as assigned including processing vendor billing for student and faculty cap/gown orders for both campuses.
  • Oversee activities for ordering/printing diplomas in-house as needed.
  • Maintain office supply inventory and place orders for office supplies with SFS/Assistant as required.
  • Maintain and update Registrar webpages and LMS courses and coordinate with the IL Registrar Coordinator(s) to ensure all updates are made in agreement with both campuses and in a timely manner.
  • Coordinate the posting of block schedules for all programs.
  • Maintain and oversee updates for the Registrar Policy and Procedure manual for both campuses.
  • Adhere to FERPA regulations and maintain a high level of confidentiality.
  • Maintain familiarity with the catalog and student handbook and educate faculty staff alumni and students as needed.
  • Update curriculum for assigned programs based on catalog updates and or approved late curriculum changes.
  • Attend training workshops/seminars as deemed appropriate by Associate Registrar and Registrar.
  • Provide standardized ad hoc reports for administration (Deans program directors etc.) particularly the same reports requested each quarter/year for both campuses.
  • Process international student documents as a Designated School Official (DSO) ensuring compliance with the policies of the University and the Department of Homeland Security.
  • Other duties as assigned by Associate Registrar and Registrar.

Education and/or Experience
High School Diploma GED or equivalent required an Associates degree is strongly preferred. 5 years of overall work experience with 3-5 years of experience in a Registrars Office or other administrative area within higher education required. Experience working in a team environment with a high focus on customer service.

Computer Skills
Computer proficiency in MS Office Suite Canvas or other LMS experience along with experience working in a student information system. Familiarity with registrar and student information systems a plus.
