Job Description

Join the Sargent Legacy in Securing Our Future

Purpose and Scope:

Works under the direction of the Supply Chain Director to provide administrative support to the Supply Chain department. The administrator will be responsible for managing the global supplier database and records. Work with minimal supervision while exercising good judgment demonstrating flexibility and responsiveness prioritizing multiple tasks with competing deadlines managing schedule conflicts and providing excellent follow-through. Demonstrate excellent communication and interpersonal skills with ability to interface with internal management and customers and external suppliers.

Roles & Responsibilities:

  • This position will be required to type and proof read a variety of documents. Will work independently to compose routine correspondence memoranda forms agendas meeting notes notices and reports as well as type and word process from rough draft verbal instructions or compile information for reports.
  • Schedule and make arrangements for meetings by scheduling facilities preparing agendas and coordinating all meeting events and activities
  • Add/Edit suppliers in the internal database for multiple Sargent sites
  • Ensure supplier documentation is complete and file accordingly
  • Maintain training records for Supply Chain employees
  • Order and manage office supply inventory
  • Maintain Supply Chain reports and records
  • Process background checks for NDAs and access to DTS
  • Support the Supplier Quality Engineer team by managing and maintaining supplier quality records and documentation.
  • Coordinate the completion review and submission of Form S and other supplier quality forms.
  • Track supplier responses and ensure timely follow-up on outstanding items.
  • Maintain accurate logs and databases related to nonconformances corrective actions and supplier approvals.
  • Communicate with suppliers regarding documentation needs quality requirements and status updates.
  • Assist in the preparation of supplier audits scorecards and quality performance reports.
  • Ensure supplier documentation complies with internal policies and customer requirements.
  • Support cross-functional teams with administrative needs related to quality and supply chain.

Required Skills Education & Experience:

  • High School Diploma or GED Required
  • Minimum 4 years of administrative experience.
  • Ability to maintain confidentiality of sensitive information.
  • Advanced knowledge of MS office (Outlook Word Excel and PowerPoint).
  • Ability to work independently and follow instructions. Ability to manage several projects at the same time and can meet necessary deadlines.
  • Experienced in multi-tasking in a demanding operation environment.
  • Excellent problem-solving and analytical skills excellent written verbal and interpersonal communication skills.
  • Must be a U.S. Citizen
  • Attendance and punctuality at work are essential functions of this position

Preferred Skills Education & Experience:

  • Bachelors degree preferred.
  • Experience working within a manufacturing environment
