Job Title: Secretary 2 Diffs Job Summary:

  • 7p-7a Sun-Sat-The Secretary performs clerical duties such as filing typing and copying documents. Screens and transfers callers arranges meetings and may handle travel accommodations. May distribute mail and maintain office supplies. The position relies on established guidelines to accomplish tasks and works under close supervision.



Responsibilities

Job Function :

  1. Telephone & Scheduling Management
    1. Provides courteous assistance guidance and direction to departmental visitors ascertains the nature of visitor business and directs individuals to various locations in the department and hospital when appropriate.
    2. Performs high quality professional administrative services by answering telephones prioritizing and directing calls typing correspondence scheduling meetings and making special arrangements (e.g. travel special events) and ordering supplies as needed.
  2. Document Management
    1. Maintains accurate and efficient filing systems and ensures that file systems are neat and well-organized. Files documents compiles new files and transcribes data while ensuring the integrity and confidentiality of all file system information.
    2. Types letters memoranda and reports from written copy and transcription equipment proofs materials for errors and ensures that page layout is consistent with hospital style in an effort to improve departmental efficiency.
    3. Efficiently inputs and retrieves data using various computer software packages in order to provide accurate and high quality information for neededecords and reports.
    4. Analyzes departmental data prepares reports and monitors departmental records.
  3. Other Duties as Assigned
    1. Participates in designated medical meetings and records meeting minutes in order to provide an accurate account of all subjects covered and decisions made.
    2. Performs other duties as assigned or requested.


Qualifications

Experience Education Training Special Skills and Licensure :

  • High School or equivalent
  • Proficient in MS Office applications
