Executive Assistant to the VP for University Advancement

FLSA Status: Non-Exempt

Reports To: VP for University Advancement

FTE: 1.0

Department: University Advancement and Strategic Communications

Position open until filled.

Work Schedule: M-F 8am - 5pm (with breaks) with occasional evenings and weekends work

Job Summary:

The Executive Assistant will provide professional strategic and administrative support for the Vice President for University Advancement and perform a variety of complex and diverse duties requiring independent judgment and a full-scope knowledge of executive procedures and practices. The Executive Assistant will communicate with trustees donors alumni students staff faculty community members and parents in a consistently professional manner and must handle confidential information according to internal policies and federal regulations.

Primary Duties and Responsibilities:

  • Compiles information for Board of Trustee (BOT) University Advancement Committee. Responsible for the accurate recording and distribution of meeting minutes to committee members.
  • Works closely with other Officers of the University direct reports to the President and their support staff to coordinate meetings presentations and campus committee work.
  • Provides general administrative support services including composing editing and preparing final correspondence memos presentations and policy documents.
  • Assists in maintaining alumni and donor records in SalesForce CRM/database.
  • Answers all incoming calls to the Linfield University switchboard screens and directs calls greets and assists visitors.
  • Manages executive calendars meetings travel and appointments.
  • Anticipates issues and gathers background information for meetings and decisions.
  • Collects prepares and distributes briefing materials.
  • Researches and follows up on multiple issues addressed to the VP/Assoc. VP.
  • Tracks project progress and action items.
  • Maintains official policies databases and correspondence records.
  • Monitors and reconciles budgets for the office processes invoices and tracks credit card usage.
  • Orders supplies and executes special projects as assigned.

Qualifications:

Education:

Bachelors degree or equivalent combination of education and experience required.

Experience:

  • 5 years providing administrative support to executive-level management.
  • Higher education experience preferred.
  • Ability to manage competing demands and adapt to changing priorities.
  • Excellent written/verbal communication and organizational skills.
  • Proficiency with Microsoft Office Zoom and related software.
  • Strong customer service skills; maintains professionalism under pressure.
  • High level of discretion with confidential information.
  • Valid drivers license and clean driving record required.

Physical Requirements:

Office-based sedentary work with frequent sitting talking and repetitive hand movements. Occasional walking across campus standing lifting (up to 20 lbs.) and exposure to outdoor elements. Occasional driving required for university-related business.
