Description of Work

This is a temporary position and there are no leave or retirement benefits offered with this position. Temporary employees who work an annual average of 30 or more hours per week may be eligible for health insurance coverage under the High Deductible Health Plan (HDHP). Note: Permanent and time-limited NC State Government employees must separate from their permanent or time-limited position in order to work in a temporary position. All temporaries are limited to one NC State Government temporary assignment at a time.

Individuals hired into a temporary State job must be fully qualified for the job. This temporary position is located in Raleigh NC - Wake County.

Job Order Hourly Rate of Pay: $33.65 (Based on education and/or years of relevant work experience reflected on the application).

This temporary position will be assigned to the Boards & Commissions. This position is located at 430 N Salisbury St Raleigh NC 27603

The North Carolina State Board of Elections (NCSBE) is seeking a highly skilled and professional Executive Assistant to provide direct administrative support to the Executive Director Chief of Staff and the five-member State Board. This role serves as a key point of contact for the executive office ensuring the seamless coordination of critical agency functions and communication.

This position requires exceptional writing organization and interpersonal skills and the ability to manage multiple high-priority tasks with accuracy discretion and efficiency. The Executive Assistant will be entrusted with sensitive and confidential information and is expected to maintain the highest level of professional integrity and confidentiality.

Note: This is a full-time temporary position. The individual selected will also be considered for permanent employment upon the expected availability of future funding. Key Responsibilities:
Serve as the primary administrative liaison for the Executive Director Chief of Staff and State Board Members.
Maintain and manage the Executive Master Calendar including scheduling meetings tracking deadlines and coordinating agency engagements.
Prioritize and route incoming correspondence including email and physical mail and ensure timely follow-up on critical items.
Draft and edit professional correspondence including official communications and numbered memos.
Coordinate travel logistics for executive leadership including itineraries and reimbursements.
Organize and prepare materials for executive meetings and State Board sessions including agendas presentations and documentation.
Maintain confidential files and records both digital and physical in accordance with agency retention standards.
Strong written communication skills with demonstrated ability to draft professional documents and correspondence.
Proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint Teams); familiarity with Webex or SharePoint is a plus.
Demonstrated ability to handle confidential and sensitive information with discretion.
Excellent organizational and time-management skills; ability to prioritize and multi-task effectively.

Knowledge Skills and Abilities / Competencies

Experience in public sector or legal/policy settings.
Knowledge of North Carolina government operations particularly those involving boards commissions regulatory agencies and the General Assembly
Familiarity with official memo formatting and communication protocols.
Work Environment:

This position operates in a professional office setting with occasional need for travel. It requires regular interaction with executive leadership and external stakeholders.

Minimum Education and Experience Requirements

Bachelors degree preferred or equivalent combination of education and experience in administrative support public administration or related field.
At least 3 years of experience in a high-level administrative or executive support role preferably in government or public service.
