Job Description

PRIMARY PURPOSE:

Perform Activity Fund accounting including compliance with applicable policies regulations and procedures. Conduct training for secretaries on an ongoing basis. Work with secretaries teachers and principals regarding money handling and fundraising. Provide guidance to district Booster Clubs.

QUALIFICATIONS:

Minimum Education/Certification:

Bachelors degree in accounting OR

Bachelors in management finance or business with at least 24 hours of accounting

Special Knowledge/Skills:

Knowledge of bookkeeping principles and practices

Exceptional verbal and written communication skills

Exceptional public relations and interpersonal skills in speaking to individuals or small groups

Strong analytical and problem solving and organizational skills

Ability to work with numbers in an accurate and rapid manner to meet established deadlines

Ability to interpret policy procedures and data

Ability to maintain independence objectivity and confidentiality

Advanced Excel and Word skills to analyze data and produce required audit reports

Work Conditions:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; standing walking occasional bending/stooping pushing/pulling and twisting

Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching

Lifting: Occasional lifting and carrying (up to 50 pounds)

Environment: Work with frequent interruptions; Must maintain professional demeanor under stress; Must have problem solving skills.

Travel: Frequent in district travel occasional out of district travel

Regular attendance is an essential function.

Minimum Experience:

3 years of successful accounting experience preferred or such other experience as may be appropriate.

MAJOR RESPONSIBILITIES AND DUTIES

  1. Maintain and monitor districts Activity Funds at all levels.
  2. Oversee expenditures and verify funds used properly.
  3. Review reconciliations for all secondary schools work closely with business office secretary.
  4. Review deposits/expenditures for elementary schools.
  5. Set up online payment information and work with secretaries to record correctly.
  6. Verify GASB 84 compliance.
  7. Train employees on fundraising procedures and compliance.
  8. Train secretaries and update training information on a regular basis.
  9. Develop/Maintain fundraising training materials.
  10. Work with secretaries/teachers and principals regarding compliance with money handling and fundraising.
  11. Verify validated deposit slips to Deposit Verification reports. Check for amounts and receipt numbers and ensure information on both deposit slips and verification. Verify deposit is to the proper sub-object.
  12. Maintain/Update information and data in Laserfiche regarding principals/teachers/secretaries.
  13. Verify reporting to secondary sponsors on a monthly basis by financial secretaries.
  14. Update the Activity Fund Manual as needed.
  15. Stay current on sales tax law with the Texas Comptroller of Public Accounts and support boosters with sales tax inquiries.
  16. Stay up-to-date professionally by selecting quality professional learning opportunities for personal growth.
  17. Research district policy precedent and current practices before acting.
  18. Demonstrate proficient levels of technology applications.
  19. Maintain punctuality in daily work times appointments and meetings.
  20. Meet task completion deadlines established by the supervisor.
  21. Maintain friendly customer-service-driven interactions with all stakeholders students teachers administrators and co-workers.
  22. Maintain confidentiality.
  23. Follow district safety protocols and emergency procedures.
  24. Ensure compliance with all local policies and state and federal statutes including the Educator Code of Ethics.
  25. Perform such other tasks and accept such other responsibilities as may be assigned.
