Position Purpose
Under the supervision of the Senior Specialist Annual Campaign the Lead Coordinator Annual Campaign is responsible for the daily operational activities of the University of Ottawa annual campaign solicitation programs. Ensures that the student call center portrays a professional image of the University externally while maximizing fundraising revenues.

In this role you will:
Annual Campaign Programs:

  • Coordinates produces and actualizes all the detailed operations for the annual campaign programs (direct mail e-solicitation and special appeals) and makes recommendations on operational procedures.
  • Coordinates fundraising and promotional materials for all Annual Campaign programs (e.g. crowdfunding electronic solicitation acknowledgment and solicitation letters project work plans solicitation forms etc.) with internal and external suppliers.
  • Coordinates all annual campaign solicitation activities. Maintains contact with external and internal stakeholders throughout the process to ensure accuracy efficiencies and deadlines are respected.
  • Produces and validates performance reports related to the results of the Annual Campaign on a weekly/monthly basis.
  • In order for the Senior Specialist to assess the overall effectiveness of the Annual Campaign the incumbent processes periodical reviews and analyzes reports. Make recommendations to improve processes and operations.
  • Write procedure manuals to keep an accurate record of the processes related to the operations. Maintains reference material archives according to industry standards.
  • Hires trains mentors and supervises a work-study student for fall / winter and spring / summer semesters.

University of Ottawa Call Center:

  • Hires trains mentors supervises and makes recommendations on performance improvements of part-time Student Team Leaders. The Student Team Leaders supervises student callers who provide support to the Annual Campaign team.
  • Approves the weekly work schedule establishes monthly financial priorities reports challenges for immediate actions (e.g. reprimand end of contract) of non-performers and documents all actions. Oversees the pay forms for the staff every semester.
  • Manages the daily operations of the call center (identifies recurring challenges analyzes and recommends changes and implements corrective measures) with the objective to maximize financial revenues on a daily weekly and annual basis.
  • Responsible for the ongoing functionality of the Campus CALL software in the Call Center. Prepares the calling pool analyzes the results submits weekly reports provides technical support and facilitates software support with external firm.
  • Provides reports and recommendations on a quarterly basis to supervisor.

What you will bring:

  • Undergraduate degree in Communication or Management or an acceptable combination of education and experience.
  • Minimum of three (3) years experience in a similar role in a large organization (preferably in a fundraising or university environment).
  • Proven communications skills in French and English (verbal and written).
  • Ability to multi-task adhere to tight deadlines in a fast-paced environment
  • Strong communication organizational and project management skills.
  • Exceptional proofreading skills and attention to detail.
  • Ability to set priorities and to use own initiative to accomplish tasks.
  • Excellent interpersonal and analytical skills tact diplomacy discretion sound judgment.
  • Excellent people skills and ability to interact with a variety of stakeholders including external and internal (public donors volunteers faculty and staff).
  • Software and computer applications knowledge are essential.
  • Knowledge of basic accounting principles and Canada Revenue Agency guidelines.

The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.

Prior to May 1 2022 the University required all students faculty staff and visitors (including contractors) to be fully vaccinated against Covid-19 as defined in Policy 129 Covid-19 Vaccination. This policy was suspended effective May 1 2022 but may be reinstated at any point in the future depending on public health guidelines and the recommendations of experts.
