Position Overview

The Administrative Assistant serves as an integral member of the Social Work (SOW) and Marriage & Family Therapy (MFT) Department Teams committed to facilitating departmental success; provides day-to-day administrative support to the Social Work and MFT faculty; serves as the point of contact for both departments.

This is a full-time (35 hours/week) 12-month in-person position serving the Social Work & MFT Departments. The position is located on the Universitys NewYork -Presbyterian Iona School of Health Sciences campus in Bronxville New York. The individual will report to each of the department chairs.

Duties & Responsibilities

  • Collaborate effectively with faculty staff students and external stakeholders across both departments.
  • Supervise and coordinate the work of departmental Graduate Assistants providing administrative support.
  • Manage all aspects of office operations including space utilization supply inventory and equipment maintenance.
  • Serve as the first point of contact for departmental communications (in-person phone email social media) ensuring timely and professional responses to inquiries.
  • Act as the primary internal liaison for Iona University administrative offices (e.g. Finance IT Facilities Marketing and Communications) and support services to ensure effective departmental operations.
  • Maintain up-to-date and accurate program records calendars contact lists and schedules.
  • Coordinate logistics and provide support for departmental events including occasional schedule adjustments to accommodate key program activities.
  • Record and distribute minutes for departmental meetings and ensure timely follow-up on action items.
  • Reconcile monthly departmental expenses with receipts & assignment of Cost Centers
  • Provide administrative support during self-study and site visit phases of CSWE (Social Work) and COAMFTE (MFT) accreditation cycle
  • Other duties as assigned

Qualifications

Required Qualifications

  • Bachelors degree in allied or related health profession; business; healthcare administration; or another related field
  • Technological and digital literacy skills are required with proficiency in Microsoft Office 365 as well as willingness to train/learn new programs and/or platforms
  • Strong organizational time-management oral written and interpersonal skills
  • Well-developed capacity to work independently
  • Motivated self-starter with creative orientation to problem-solving
  • Ability to understand broad vision of the task as well as having attention to detail
  • Adaptable team player committed to the departments student-centered approach
