BHS Corrugated is seeking anOffice Administrator to join our growing team in ourKnoxville TNfacility!
Summary:
The Office Administrator is responsible for maintaining a clean organized and welcoming office environment while ensuring that daily office operations run smoothly. This role includes coordinating service providers managing supplies preparing shared spaces for use and supporting both internal staff and visitors. In addition to core office duties the Office Administrator provides administrative support for Environmental Health & Safety and clerical assistance to other local departments (SPL) as needed. The position is based 100% on-site in Knoxville TN with regular weekday hours and requires reliable daily attendance. This position also requires up to 10% of travel.
Responsibilities:
Office Administration
- Greet and assist incoming clients visitors and vendors directing them to the appropriate personnel.
- Serve as the primary point of contact for external service providers including office cleaning landscaping office general maintenance and supply restocking.
- Maintain full ownership of the front office and shared workspaces including the following:
- Monitor and maintain inventory of office and kitchen supplies; place orders as needed.
- Coordinate in-office events through effective communication across multiple departments.
- Manage assignment and scheduling of hoteling spaces and cubicles.
- Ensure cleanliness and readiness of all shared areas including offices conference rooms kitchens and hoteling workstations.
- Manage the conference room calendar and confirm rooms are prepared for scheduled meetings.
- Restock and maintain kitchen areas including food beverages dishware and small appliances.
- Process incoming and outgoing mail daily and manage package shipments per company procedure.
- Provide general clerical support filing and ad hoc reporting for local departments including SPL Clinton warehouse and production.
- Assists with local event planning as requested holiday parties employee appreciation lunches and other office functions.
- Update and monitor postage.
- Perform other related duties as assigned.
Environmental Health & Safety Administration
- Coordinate scheduling safety meetings training sessions and manage action registers as required.
- Compile monthly audiogram & overdue safety training reporting.
- Support data gathering and reporting for regulatory requirements to meet internal & external stakeholders (ESG CSR OSHA EPA etc.)
- Assist with incident reporting and workers compensation claims.
- Participate in Wellness Committee.
- Assemble and analyze PPE reports on safety glasses boots etc.
- Ensure precise and comprehensive data entry in ISNetworld (training rosters policy updates hours etc.).
- Create and distribute weekly toolbox talks monthly safety newsletters and similar safety programming (Kudos surveys etc.)
- Send safety information to all new hires and assist with safety onboarding.
- Review and revise policy documents as directed.
Physical Requirements:
- Ability to work at a computer for up to eight (8) hours a day.
- Ability to stand for at least forty-five (45) minutes at a time.
- Ability to lift up to fifty pounds (50) pounds at waist level.
- Must be able to work in-office up to 100% of the time.
- Ability to travel up to 10% of the time.
