Position Summary:

The VCU School of Business invites talented and qualified candidates to apply for the position of Program Coordinator. The Program Coordinator position administratively supports several academic units within the School of Business providing planning organization and coordination. Through assistance provided to department chairs faculty and students the program coordinator facilitates achievement of the academic goals of each unit and the School of Business. The Program Coordinator must carry out these responsibilities accurately and professionally exercising discretion and independent judgment with minimal supervision. The Program Coordinator engages collaboratively with faculty staff and students to become an integral part of the academic community with opportunities to contribute to student success and advance research and knowledge creation.

Typical Responsibilities:

  • Coordination of and participation in departmental meetings and internal events

  • Function as the departmental point of contact for students prospective students faculty and external partners (e.g. advisory board members)

  • Manage student workers

  • Ensure departmental operations run smoothly and the department is staffed during business hours; coordinate hiring workloads and serve as primary timekeeper of student workers as needed

  • Facilitate timely and accurate communication between faculty students the department chair and other units within the school; this includes tasks such as textbook orders with faculty sending departmental communications and internal event information and ensuring the expressed needs of students are matched with appropriate resources.

  • Perform fiscal functions such as purchasing materials submit payment requests for student awards and scholarships coordinate faculty student candidate and guest travel submit reimbursements; interface with the schools finance team when more complex transactions are required. Ensure that all transactions are processed in compliance with university policies and applicable federal state and local laws.

  • Provide expense tracking and reporting to the department chair to assist with budget management and reconcile monthly financial transactions.

  • Facilitate execution of new adjunct faculty hires and adjunct faculty contracts in partnership with department chairs and Human Resources

  • Plan and execute department events and special programs as part of a team

  • Work on special projects and initiatives as needed to support the School of Business

  • Other duties as assigned based on department programs and needs

Qualifications

Minimum Qualifications:

  • Excellent problem solving organizational and time management skills

  • Ability to apply knowledge of programs operations and administrative policies and procedures to maintain or enhance the departments operating efficiency

  • Communication and interpersonal skills that lead to successful interactions with students faculty administrators staff and the general public

  • Ability to execute detailed administrative work in a timely and accurate manner while maintaining confidentiality and integrity in all areas but especially in those of finance and personnel administration

  • A commitment to customer service and the ability to create a positive and inclusive environment for our faculty staff and students

  • Ability to function well in a complex fast-paced multi-task work environment that may present conflicting deadlines

  • Ability to function well in an independent role managing multiple stakeholders

  • Ability to learn and use a variety of computer programs internet software and office applications such as Microsoft or Google Workspace

  • Ability to supervise student workers

  • Ability to plan events with multiple complex components to support the department

  • Flexibility to work occasional evenings or weekends to support events (significant notice given)

  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU.


Preferred Qualifications:

  • Experience in an administrative or support position or relevant work experience

  • Experience with higher education governmental or corporate financial systems for purchasing and procurement

  • Proficiency in Microsoft office applications and/or Google Workspace applications

  • Experience using course management software (i.e. Canvas)

  • Experience using event management or CRM software (i.e. Slate)

  • Experience using Jotform or Smartsheet platforms

  • Experience planning and facilitating events


Additional Information:

Priority will be given to candidates who submit their applications by July 7.


This position may be eligible for a hybrid and flexible work schedule once training is complete and must be coordinated with the supervisor of this role. This position must be on site during events and when department office coverage is required.


Typical Schedule: Monday - Friday 40 hours per week but does require periodic evenings and weekends.
