Job Description

Location: Insert City MT
Reports To: Vice President of Finance
Job Type: Full-Time Exempt
Compensation: Up to $60000 starting salary DOE

About the Role:

We are seeking a Finance & Grants Coordinator to support the financial operations of our nonprofit organization. This position focuses on grant accounting third-party billing (including Medicaid and insurance) and revenue tracking. It is ideal for a detail-oriented self-motivated professional who thrives in a collaborative mission-driven environment.

Youll work closely with the VP of Finance and program staff to ensure accurate financial data entry grant documentation billing and payroll support. This is a key role in helping maintain the financial health and compliance of our organization.

Key Responsibilities:

  • Record and maintain accurate financial transactions in QuickBooks Online

  • Prepare and reconcile Medicaid insurance and private pay billing

  • Track and report on multiple grants ensuring financial and compliance accuracy

  • Collect and review documentation from staff for grants and billing

  • Prepare deposits and reconcile bank and general ledger accounts

  • Provide backup support for payroll and time tracking system data entry

  • Assist in preparing monthly internal financial reports

  • Maintain well-organized digital and physical records for finance billing and grants

  • Support audit and grantor review preparation

  • Perform other finance-related administrative tasks as assigned

Qualifications:

  • Proficiency with QuickBooks Online and Microsoft Excel

  • Familiarity with grant accounting and third-party billing (preferred)

  • Strong attention to detail and time management

  • Able to work independently while collaborating effectively with cross-functional teams

  • Excellent organizational and communication skills

  • Basic understanding of nonprofit GAAP principles

Education & Experience:

  • Associates degree in Accounting Finance or related field; or

  • 23 years of experience in bookkeeping grant administration or nonprofit revenue accounting

  • Nonprofit experience is strongly preferred

Additional Requirements:

  • Valid Montana drivers license and insurable driving record

  • Compliance with I-9 eligibility requirements

  • Must be able to lift up to 15 pounds occasionally and work in a typical office setting
