Position Description:
The Administrative Assistant is responsible for the coordination and management of the daily activities of the department including the electronic preparation and processing of various reports compilation of statistical data and maintenance of appropriate files and budgets. The administrative assistant provides essential administrative and operational support to the Office of District Affairs ensuring the effective implementation of district policies regulatory compliance and communication functions.
Reports To: Chief District Affairs Officer
Scope of Responsibility:
- Coordinating daily clerical operations to support the consistent execution of board policies and administrative procedures including managing correspondence maintaining records and facilitating interdepartmental coordination.
- Performing a variety of administrative support duties including bookkeeping timekeeping and supplemental payroll processing in accordance with district guidelines.
- Serving as a liaison to internal staff and the general public addressing inquiries and supporting the offices community engagement and public relations efforts.
- Managing calendars and scheduling appointments to support the efficient operations of the District Affairs team.
- Maintaining confidential personnel documentation such as attendance records and evaluations in compliance with district policy and legal requirements.
- Preparing and processing all departmental requisitions to ensure timely and accurate resource procurement.
- Ensuring the district and all schools remain in compliance with federal statutes and regulations state laws Board of Elementary and Secondary Education (BESE) rules and district policies related to safety and student discipline.
- Coordinating and monitoring all legally required bullying training investigations and resolutions and compiling monthly data reports for review by the Executive Director of Special Programs and the Chief District Affairs Officer.
- Collecting maintaining and monitoring crisis response plans and safety drill documentation for all schools supporting district preparedness and emergency response protocols.
- Updating and maintaining the Office of District Affairs website to ensure accurate accessible and timely information is available to staff families and the public.
- Assisting with special projects and performing other duties as assigned by the Chief District Affairs Officer to support the strategic initiatives of the department.
Skills and Qualifications:
- 3 years of successful office experience
- Ability to work flexible schedule
- High School Diploma

Physical Involvement:
Sitting is required most of each work day. Must be able to operate office equipment. Standing walking reaching bending lifting up to 10 pounds is sometimes required. Ability to provide own transportation to schools work locations and meeting sites. Mobility skills necessary to access a variety of work locations including locations not on the ground floor.
