Alerion Aviation is seeking a Human Resources & Compliance Specialist to join our team at the West Palm Beach FL office.


The Human Resources & Compliance Specialist assists with a broad range of human resources duties such as creating and maintaining personnel files recruiting compliance as well as other HR activities and projects.


The HR & Compliance Specialist is the primary Designated Employee Representative (DER) for the FAA Drug and Alcohol program and is responsible for modifying and/or establish new (where needed) formal system processes that support the drug and alcohol testing and chain-of-custody protocols that meet the internal testing requirements and the requirements set forth by the regulatory agencies (federal state and local).

Requirements

General Human Resources

  • Follow policies and confidentiality dictations to safeguard data and information.
  • Answer employment-related inquiries from applicants employees and supervisors referring complex and/or sensitive matters appropriately.
  • Responsible for processing employee files/records within HRIS system throughout the employee lifecycle and beyond.
  • Coordinate human resources database information for all standardized policies procedures and employee resources.
  • Assist with employee on and off boarding. Manages all administrative tasks for new hires such as new hire packets compliance I-9s harassment training new hire orientation.
  • Assist with development and maintenance of employee communications including website employee boards employee HRIS notifications etc.
  • Maintain compliance with federal state and local employment laws and regulations. Assist in reviewing policies and practices to maintain compliance.
  • Maintain knowledge of trends best practices regulatory changes and new technologies in human resources talent management and aviation.
  • Commitment to an exemplary customer service philosophy consultative approach to problem solving and successfully maintain high ethical standards.
  • Assist with generating and presenting HR-related metrics.
  • Participate in recruiting or relevant industry events as required.
  • Support the recruitment and selection process. Ensures compliance with information storage and retention.
  • Assist in creating coordinating and conducting HR related training for employees as needed.
  • Additional duties as assigned.


Compliance

  • Primary Designated Employee Representative (DER) for FAA Drug & Alcohol program
  • Maintains certifications and acts as the point of contact person for all Compliance inquiries both internal and external (Third Party Administrator (TPA) and Collection site/Laboratory representatives).
  • Coordinates schedules and notifies pre-employment random follow-up post-accident reasonable cause and return to duty testing Procedures. Followed in accordance with all Federal State and Company Policies.
  • Maintains Drug and Alcohol Program in compliance with all Federal Regulations. Maintains all program documentation as required by law.
  • Acts as the primary point of contact and responsible for employment clearances of Safety Sensitive Employees (PRIA/PRD) and DER responsibilities.
  • Manages all required training courses/programs relating to Drug & Alcohol and DOT for employees.
  • Processes all new hire & contract employee compliance checks (background NATA NATACS CHRC Fingerprinting etc.) as required.
  • Participates in required audits including but not limited to self-audits safety sensitive records and any regulatory audits required by governing agencies.
  • Prepares Annual Compliance Reports for Drug and Alcohol Programs and Maintains FAA required corporate lists.
  • Reports any critical compliance deficiencies that affect the company operations and recommends corrective action.
  • Responsible for maintaining program manuals postings and employee notifications as required.
  • Additional duties as assigned.


Qualifications & Experience

  • Bachelors Degree required; Human Resources or Business Administration focus preferred.
  • Minimum 3 years of human resources experience.
  • Minimum 1 year of aviation compliance experience
  • Designated Employee Representative (DER) experience preferred
  • Excellent office management/coordination professionalism and business acumen.
  • Able to work quickly accurately and independently.
  • Ability to translate and analyze data into reports.
  • Ability to handle confidential employee information with discretion sensitivity and good judgment.
  • Experience with HR software Paylocity experience preferred.
  • Experience with operating procedures and manuals for government agencies
  • Strong interpersonal communication with the ability to work successfully cross-functionally.
  • NATACS Fingerprint Collector preferred but not required.
