Description

Under general supervision performs difficult and varied clerical duties for a department or an organizational unit. Work requires detailed knowledge of an operation and the exercise of independent judgment and initiative in a wide range of matters to assist management or professional personnel in the completion of significant details including correspondence public contacts or by gathering background material for supervisors review. Develops and refines routines for continuing work to completion. Trains and directs clerical subordinates. Characteristic Duties and Responsibilities

Drafting and ReportingDrafts forms composes form letters and compiles factual reports which require exercise of judgment.

Data Management and AnalysisPerforms data collection entry compilation calculations and creates statistic charts tables graphs and reports for departmental needs.

Telephone and Inquiry HandlingAnswers telephones and directs calls to designated personnel. Responds to inquiries and provides broad and detailed information requiring knowledge of department operations and procedures; exercises discretion and ability to determine the level of sensitive information; refers unusual inquiries to supervisor for handling.

Scheduling and Travel CoordinationServes as appointment and meeting coordinator for the leadership administration; maintains appointment calendar; makes comprehensive travel arrangements food arrangements and prepares itinerary; prepares and confirms necessary authorizations check requests and reservations for administrative leadership. May include special event and off-campus activity organizational support.

Reception and Visitor AssistancePerforms receptionist duties receiving and directing visitors to appropriate offices or personnel.

Mail and Correspondence ManagementOpens prioritizes distributes and re-routes mail. Composes correspondence independently requiring knowledge of school policies procedures and practices in response to general inquiries and requests from Administration or supervisors general direction.

Staff Training and SupervisionTrains and supervises staff to perform data entry bookkeeping and record organizational activities.

Professional ParticipationParticipates in meetings workshops seminars and other professional activities.

Proofreading and VerificationProofreads and corrects written materials. Verifies information for accuracy and completeness and resolves discrepancies in listings reports or other sources.

Records and File ManagementOrganizes creates maintains and updates data and resources information including files records logs listings other sources.

Additional Administrative SupportPerforms other related duties as required for the efficient operations of the division.

Qualifications

Required Education and ExperienceHigh School diploma or G.E.D. and completion of two (2) years of clerical course work in an approved business school or a high school and/or Associate Degree in related field. Four (4) years of office clerical experience including two (2) years of experience at the Clerk II level or related work experience.

Preferred Education and experience:Some college; Technical certificate; Associate or Technical Degree and/or Bachelors degree in related field. Five (5) to seven (7) years of relevant experience.

Preferred License/Certification:CPR/First Aid Certification.

Knowledge Skills And Abilities

  • Knowledge of Wisconsin Technical College System or department mission and objectives.

  • Knowledge of trends issues and accepted practices relevant to the position.

  • Working knowledge of business English spelling grammar and punctuation.

  • Thorough knowledge of modern office practices procedures and skill in their application.

  • Ability to compose a wide variety of correspondence without specific instruction.

  • Ability to keep complex records to assemble and organize data and prepare reports from such resources.

  • Ability to produce reports in clear and readable formats.

  • Ability to interact with people and work in a fast-paced environment.

  • Ability to work without supervision.

  • Ability to follow directions both oral and written.

  • Ability to perform arithmetic computations rapidly and accurately.

  • Strong attention to detail.

  • Demonstrated ability effectively supervise and support staff and interact with all levels of management.

  • Proficiency software specific to position including Microsoft Office Suite especially Excel Word and other applicable software applications.

  • Ability to establish workflows manages multiple projects and meets necessary deadlines.

  • Ability to communicate effectively through both oral and written means.

  • Ability to establish and maintain effective work relationships with peers employees students faculty representatives from outside organizations and the general public.

  • Ability to convey an image of professionalism and dedication in work related activities.

  • Ability to work with culturally diverse student and employee populations.

  • Ability to take and transcribe dictation quickly and accurately.

Supplemental Information

Hours The technician is generally expected to be available Monday Friday between the hours of 8:00 a.m. and 4:30 p.m. Flexibility may be required to support departmental needs including occasional evening or weekend hours and travel between campus locations.


SalarySalary is listed to the midpoint of the salary range and are determined by years of experience credit and
internal salary equity.
