Job Description

This is a remote position.

Schedule: Full-time (40 hours/week) Monday to Friday 8 AM 5 PM Pacific Time (1-hour unpaid break)
Total Weekly Hours: 40 hours


Client Overview

Join a growing painting company in the Bay Area that serves both residential and commercial clients. With a team of 16 painters and project managers they re known for high-quality work and a family-oriented professional environment. As the business expands they re looking for a dependable operations support specialist to improve customer service and keep things running smoothly.


Be the main contact for customers and help manage their experience from first inquiry to project completion. You ll handle scheduling follow-ups and admin tasks while working closely with the owners and field teams to keep operations organized and efficient.


Key Responsibilities
  • Answer incoming customer calls and respond to inquiries

  • Follow up with leads from marketing and website

  • Schedule estimates and coordinate with project managers

  • Manage calendars and support field team scheduling

  • Assist with invoicing job costing and basic financial tasks

  • Maintain organized records and support day-to-day operations

  • Handle inbound and outbound calls with a friendly professional tone

  • Support general back-office administrative duties



Requirements
  • Excellent English communication skills; professional phone presence

  • Experience in admin or customer service roles (US-based company experience preferred)

  • Bilingual in Spanish/English strongly preferred

  • Background in lead management or sales support

  • Strong organizational and multitasking skills

  • Confident and professional when dealing with clients

  • Comfortable learning and using basic software tools

  • Proactive and able to work independently
